Overview

The Standard Administrator can navigate to “Candidates” page from “Candidates” tile.

This article describes this tile as visible to a standard administrator. For more information, see: Standard administrator - detailed description.

 

The Candidates grid

The grid lists all the Learners/Jobseekers, for whom the logged-in administrator has access. A summary of their Placement/Workshop and/or Internal Job allocations is also displayed, with options to manage userPlacements straight from the grid.

If a Learner/Jobseeker has no userPlacements, they will still be listed in the grid, with “None” status.

By default, the grid is filtered by “Status”=”Applied” and sorted by “Date” column, descending. The grid displays 10 records per page. The administrator can use the navigation buttons to switch between pages.

 

Filtering

To apply a filter, the administrator should click the ’Search’ button. To reset currently applied filters and get back to default values, the administrator should click the ‘Reset’ button.

In the filter area, the administrator can view:

Category Dropdown Blank

Filter by Placement/Workshop category.

The dropdown lists the Placement/Workshop categories across the tenant.

App/CV Dropdown ‘--All--’

Filter by userPlacement App/CV availability.

Options are:
- “--All--”
- “Yes”
- “No”

Route Dropdown ‘--All--’

Filter by userPlacement route.

Options are:
- “--All--”
- “Applied”
- “Shortlisted”

From Date picker Blank Filter by minimum Date enrolment was most recently updated
To Date picker Blank Filter by maximum Date enrolment was most recently updated

 

Grid columns

The following grid columns and actions are available for a Standard administrator:

  • External test: <Test name> 
  • Psychometric test
  • Interview/Event: <Create/Update> Clicking on ‘Create’/’Update’ button launches an Interview details popup which you can fill out straight from the grid:

    Once confirmed, Edit Task form will pop up to let Administrator create/update associated Task for Interview.
  • Application letter/CV

 

‘Pass’ button is displayed for those userPlacements which current step is passable (of ‘Applied’ or ‘Shortlisted’ statuses and having incomplete current step).

Once clicked, the Standard Administrator will be requested to provide comments:

Link to view Application letter and/or CV attached by Jobseeker during Application onto Placement/Workshop or Internal Job.

In ‘User’s CV’ area it is also possible to download attached CV, or forward details to userPlacement contact (outside Aptem platform) or print the Application letter out.

Column leaves blank if no Application letter/CV found for enrolment.

Method userPlacement was originally created by.

Options are:

  • ‘Applied’ Identifies userPlacements Jobseekers applied for themselves
  • ‘Shortlisted’ Identifies userPlacements Administrators created for Jobseekers via shortlisting them

Action buttons:

  • ‘Enrol’ (ca6.png) Allows to enrol Jobseeker onto Placement/Workshop or Internal Job – or Edit existing enrolment.

Available for statuses:
- ‘Enrolled’
- ‘Finished’
- ‘Lapsed’
- ‘Applied’ and no steps to complete
- ‘Shortlisted’ and no steps to complete

Once clicked:
-‘Enrol on placement/workshop’/’Edit placement/workshop’ form will pop up for Placement/Workshop userPlacements

- Enrol on/Edit Internal Job form will pop up for Internal Jobs

Once enrolment created and confirmed:
-
Placement/Workshop or Internal Job userPlacement will update its status to ‘Enrolled’,
- Jobseeker will receive ‘
Placement/Workshop accepted’ email (for Placement/Workshop enrolments only)
- Jobseeker will receive ‘
Placement/Workshop’ notification (for Placement/Workshop enrolments only)
- Internal Job will appear in Job Finder > Shortlist > Applications panel in Learner Console
- Placement/Workshop will appear as ‘Enrolled’ in Placement Finder > Applied tab (Classic, Learner interface)

  • ‘Reject’ (ca9.png) Allows to mark userPlacement as ‘Rejected’; Available for statuses:

- ‘Applied’
- ‘Shortlisted’
- ‘Filled’

Once clicked, Administrator will be requested to confirm the action (“Are you sure that you want to reject <Jobseeker Full name> for this placement/workshop?”):

Once confirmed and comments are provided:

- Placement/Workshop or Internal Job userPlacement will update its status to ‘Rejected’,

- Jobseeker will receive ‘Placement/Workshop application’ email

- Jobseeker will receive ‘Thank You for Your Recent Application’ notification

 

  • ‘Delete’ (ca11.png) Allows to delete userPlacement; Available for any statuses except ‘None’, and is not available if enrolment has Verified hours > 00:00. Once clicked, Administrator will be requested to confirm the action (“Are you sure that you want to delete user placement/​workshop?”):

    Once confirmed, Placement/Workshop or Internal Job will be unbound from Jobseeker. If Jobseeker has no userPlacements left as a result, they will become listed as of “None” status in the grid.

 

Export to CSV

The administrator can download relevant details as a CSV report using the “Export to CSV” link at the top-right corner above the grid.

When administrators use the export option, a “Aptem.Candidates.csv” file is exported - this file contains the same columns as displayed in the grid, plus these additional columns:

  • Jobseeker Reference number as “RefNumber”
  • Jobseeker Email as “Email”
