Unallocated users tile

Any additional tenant settings required to view this functionality:

  • “Placements/Workshops” token is enabled in account programme
  • AND “Use Unallocated users report” option is ticked in “Placements/Workshops” token (“Main” tab)

Overview

A Standard administrator can navigate to “Unallocated users report” page from “Unallocated users” tile.

This article describes this tile as visible to a standard administrator. For more information, see: Standard administrator - detailed description.

The “Unallocated users report” grid lists all Learners/jobseekers of “Full User” subscription status, for whom the logged-in administrator has access. A summary of Placement/Workshop and/or Internal Job enrolments of Enrolled/Finished/Lapsed statuses is also displayed.

By default, the grid is sorted by JobseekerID, ascending. The grid displays 10 records per page. The administrator can use the navigation buttons to switch between pages.

 

Filtering

To apply a filter, the administrator should click the ’Search’ button. To reset currently applied filters and get back to default values, the administrator should click the ‘Reset’ button.

In the filter area, an administrator can view:

Grid columns

The following grid columns and actions are available for a Standard administrator:

Shows the summarised amount of weeks allocated by Jobseeker across all their Internal Job enrolments.

 

Calculation logic per each enrolment

With FirstDayOfWeek = ‘Sunday’ and if Internal Job enrolment “End Date” is less or equal to today:

  1. Calculate EnrolmentDuration: “End Date” + 1day minus “Start Date”
  2. Calculate EnrolmentDurationInWeeks: EnrolmentDuration / 7 (rounded up to integer)
  3. Check “Start Date” is FirstDayOfWeek to set SDisFirstDayOfWk: 1 if yes, otherwise – 0.
  4. Check “End Date”+2days is FirstDayOfWeek to set EDisFirstDayOfWk: 1 if yes, otherwise – 0.
  5. Calculate Weeks Allocated:

EnrolmentDuration – EnrolmentDurationInWeeks*2 – SdisFirstDayOfWk + EDisFirstDayOfWk

 

Hours logged

Yes

Only displayed if Jobseeker has Placement/Workshop enrolments of Enrolled/Finished/Lapsed statuses; otherwise, blank.

 

Shows total hours logged for all Jobseeker’s Placement/Workshop enrolments – where scheduled Tasks EndTime is less than now.

If all Placement/Workshop enrolments are in future, “00:00” will be displayed.

Verified

Shows total hours verified across all Jobseeker’s Placement/Workshop enrolments.

Last experience ended

Only displayed if all Jobseeker’s Internal Job enrolments (Enrolled/Finished/Lapsed statuses) have “End date” less or equal to today; otherwise, blank.

 

Shows maximum “End date” across all Jobseeker’s Internal Job enrolments.

 

Export to CSV

The administrator can download relevant details as a CSV report using the “Export to CSV” link at the top-right corner above the grid.

When administrators use the export option, a "UnallocatedUsers.csv" file is exported - this file contains the same columns as displayed in the grid, considering filter(s) applied.
