Overview

A Standard administrator can navigate to “Placement/Workshop/Voluntary work” page from “Placements/Workshops users” tile.

This article describes this tile as visible to a standard administrator. For more information, see: Standard administrator - detailed description.

A Standard administrator can view a summary report of Placement/Workshop and Internal Jobs allocations of any statuses:

  • Placement/Workshops: Applied, Canceled, Shortlisted, Filled, Enrolled, Finished, Lapsed, Rejected
  • Internal Jobs: Applied, Canceled, Shortlisted, Filled, Enrolled, Finished, Rejected

By default, the grid is ordered by “Start date” column, descending. The grid displays 10 records per page. The administrator can use the navigation buttons to switch between pages.

 

Filtering

To apply a filter, the administrator should click the ’Search’ button. To reset currently applied filters and get back to default values, the administrator should click the ‘Reset’ button.

In the filter area, an administrator can view:

  Type of control Defaulted to Description
User name or email Free text input Blank Learner/Jobseeker’s full name or email address
Group multiselect tree view dropdown ‘Select groups’

Only those Aptem Groups are listed which logged in Administrator has access to;
If applied, grid will be showing only those records where both Jobseeker and Placement/Workshop (or Internal Job) are allocated to the selected groups.

From/To Split date pickers Blank Start Date and Planned end date of Placement/Workshop or Internal Job enrolments
Type Dropdown ‘All’

Type of Placement/Workshop (does not allow to filter by Internal Jobs only);

Export to CSV

The administrator can download relevant details as a CSV report using the “Export to CSV” link at the top-right corner above the grid.

When administrators use the export option, a “Work Placements report.csv” file is exported.

Note that enrolments of “Applied” and “Canceled” statuses (i.e., Jobseeker applied for an Internal Job/Placement themselves or Cancelled application)  will not present in the report until these are updated by Administrator.

This CSV file contains the following columns:

  • User
  • User DOB
  • Organisation name: Placement/Workshop or Internal Job organisation
  • Organisation address: Placement/Workshop or Internal Job address, including Postcode
  • Organisation contact: Placement/Workshop or Internal Job contact name
  • Organisation email Placement/Workshop or Internal Job contact email address
  • Organisation phone: Placement/Workshop or Internal Job contact Phone number, excluding “ext.”
  • EDRS/ERN number: Organisation EDRS/ERN number
  • Placement/Workshop title
  • Placement/Workshop type
  • Placement/Workshop categories
  • Status: Placement/Workshop or Internal Job enrolment status
  • Start date
  • Planned End date
  • Actual End date

  • Placement/Workshop coach name: Full name of Administrator who most recently updated enrolment record for Jobseeker.

  • Current group: Jobseeker’s Aptem Group allocation – only one even if multiple assigned.
  • Root group: Root group associated with Jobseeker’s Aptem Group allocation – only one even if multiple assigned.
