Performance Dashboard - Requires Attention drilldowns
Overview
As a Tutor/Administrator, you can view the drilldowns for items displayed in the Requires attention section in order to view detailed information and to take action where appropriate.
The Performance Dashboard drilldowns are available to tutors/administrators with the Assessor or Trainee Assessor role.
Requires Attention drilldowns
On the Performance Dashboard, the Requires Attention card has many possible items, clicking on an item will take you to the relevant section in Aptem. Depending on your role and tenant settings, you will see some of the following items in this section:
- Activities Overdue
- Requires Marking
- Feedback Received
- Open Trackers
- Signatures Required
- Cognassist Registration Required
- Cognitive Assessment Incomplete
- Cognitive Results Ready
- Ready for QA
- Unplanned QA
Activities Overdue
When you click Activities Overdue, you will see a grid showing the learners who have overdue activities. In cases where the overdue activities for that learner span more than one case owner, they are displayed as separate entries on the grid.
The grid has the following columns:

You can use the learner name search box above the grid - type in 3 letters or more to search for a particular learner.
The activities are displayed by Date order of activities overdue, with the oldest displayed first. To sort the items, click on the header row of the column you wish to sort them by. You can sort by:

Learner/Programme - alphabetically arranged based on learner's name

End Date - oldest to newest

Tutor - alphabetically arranged

Overdue Activities - Highest to lowest

Requires Marking - Highest to lowest

When you click a row in the grid, the learner plan view is displayed - it is filtered to show the overdue items. Click the 'Back' button to return to the grid.
Requires Marking
When you click Requires Marking, you will see a grid showing the pieces of evidence that require marking. The grid has the following columns:

When you click on the Evidence File/Note Name in the grid, the Mark Evidence screen is displayed - it is filtered to show the pieces of evidence that require marking, with the oldest listed first. Click the 'Back' button to return to the grid.
When you click on the Learner Name/programme in the grid, the learner's dashboard is displayed. Click the 'Back' button to return to the grid.
Feedback Received
*Only applicable to a Trainee Tutor.
If you are a Trainee Tutor, and you have received feedback from an experienced tutor or a Quality Assurer, you can find it here.
When you click Feedback Received, you will see a grid showing the pieces of evidence that have received feedback from a Trainee Tutor or an IQA. The grid has the following columns:

When you click on the Evidence File/Note Name in the grid, the Evidence screen is displayed - it is filtered to show the evidences with feedback, with the oldest listed first. Click the 'Back' button to return to the grid.
When you click on the Learner Name/programme in the grid, the learner's dashboard is displayed. Click the 'Back' button to return to the grid.
Open Trackers
When you click Open Trackers, you will see a grid showing the open trackers that you can action. The grid has the following columns:

You can use the learner name search box above the grid - type in 3 letters or more to search for a particular learner.
The grid is ordered by the Tracker Status column by default - it lists trackers with a 'New' status first, followed by the other statuses arranged alphabetically.
To sort the items, click on the header row of the column you wish to sort them by. You can sort by:

When you click on a row in the grid, the Tracker is displayed in edit view. You can process the tracker and click the 'Back' button to return to the grid.
Signatures Required
When you click Signatures Required, you will see a grid showing a list of the documents that require your signature. When you click on a row in the grid, the Signatures Screen is displayed. You can complete the signatures and click the 'Back' button to return to the grid.

Cognassist Registration Required
*Only applicable if you are using Cognassist.
When you click Cognassist Registration Required, you will see a grid showing learners in your caseload who require a Cognassist registration. The grid has the following columns:

You can use the learner name search box above the grid - type in 3 letters or more to search for a particular learner.
If Cognassist is enabled for the learner's current programme, and the learner has not been registered, the status shows Cognassist Registration Required.
You will be able to directly register learners who have no missing details on their profile (email address, date of birth or postcode). Click Register under the Actions column to register the learner. If the learner has missing details on their profile, the Register button is greyed out.
The grid is ordered by the Cognassist Registration Status column by default. To sort the items, click on the header row of the column you wish to sort them by. You can sort by:

Cognitive Assessment Incomplete
When you click Cognitive Assessment Incomplete, you will see a grid showing learners in your caseload who have a Cognitive assessment status of "Not complete". The grid has the following columns:

Cognitive Results Ready
When you click Cognitive Results Ready, you will see a grid showing learners in your caseload who have a Cognitive assessment status of "Completed" but have not been viewed by the Tutor. The grid has the following columns:

Ready for QA
The Ready for QA card is only displayed for administrators who have one or more of the following roles:

Internal Verifier

Supervisor

Compliance QA

Manage ILR

ILR QA
When you click Ready for QA, you will see a grid showing all the learner records in your caseload that have activities that have been completed, and are available for the QA to complete their Quality Assurance.
The grid is ordered by the Actioned On column by default. To sort the items, click on the header row of the column you wish to sort them by. You can sort by:

When you click on a row in the grid, the selected activity's 'Quality Assurance' screen is displayed, with the relevant evidence pre-selected. Click the 'Back' button to return to the grid. Note that this drilldown feature will be added as part of July 2022 release 1.
Unplanned QA
The Unplanned QA card is only displayed for administrators who have one or more of the following roles:
- Internal Verifier
- Supervisor
- Compliance QA
- Manage ILR
- ILR QA
When you click Unplanned QA, you will see a grid showing learners in your caseload filtered by the Unplanned QA filter. This is a list of all the learners who don't have enough activities planned for QA based on the settings you have defined at the programme and/or tutor level.

Notes

In the default view, Administrators/Tutors viewing the performance dashboard will see metrics only for those learners who are on a delivery programme. In addition, learners with the following programme status will be excluded:

- Non starter
- Early leaver
- Not eligible
- Completed
- Withdrawn
- Withdrawn (w/o funding)
- Imported

Filtering
You can set filters to limit the view by programmes/ learners or any other available filters. The option to filter is available to you at all times, even within the drilldowns. When you drill down into a particular item, these filters will be visible on the top of your screen.
Quick Filters
You can use the two quick filters: Programmes and My Learners to narrow down your dashboard/results.
Click the Programmes quick filter to set/reset the Programmes multi-select filter.

'Programme' Quick Filter: This quick filter shows a list of all the programmes and sub-programmes that the learners in the dashboard are applied to. Multi-selection is possible and contains a selection of 'All Programmes' at the top.

'Learners' Quick Filter allows for the selection of:
-
'My leaners: Shows the learners for whom you are the designated Tutor.
-
Secondary learners: Shows learners for whom you are an activity owner. You must be the activity owner for at least one activity in the learner`s learning plan in order for the learner to appear in this list.
- All learners: Shows all learners that you have access to in the group structure. This option will only show if you have permission to view all learners within the group.
The options visible to you are limited by your role and access level. For example, the option to select All Learners in the Learners dropdown will only be visible if you have the View All Learners role.
Detailed Filters
Click the Filters option on the top. A Filters pane is displayed on the right of your screen. Here, you can filter by Programme, Learners, Groups, Tutor, Employer Group, and Employer.
Except for Learners, each of these filtering options offers you a multi-select list. The options visible to you are limited by your role and access level. For example, the option to select All Learners in the Learners dropdown will only be visible if you have the View All Learners role.

The Group and Employer Group filters, subject to group permissions, allows for the selection of multiple groups.
- The Employer filter allows for the selection of one or more employer organisations.

The Primary Tutor filter, subject to group permissions, allows for the selection of one or more Tutors (Case owners).
Make your selections and click Done. The revised dashboard will be displayed.
