Placements/Workshops users tile

Overview

A standard administrator can access the Placement/Workshop/Voluntary work page from the Placements/Workshops users tile. This article describes the page as visible to a standard administrator. For more information, see Standard administrator – detailed description.

Note: the Placements/Workshops token must be enabled in the account programme to access this functionality.

The page shows a summary report of placement, workshop, and internal job enrolments across all statuses:

  • Placements and workshops: Applied, Cancelled, Shortlisted, Filled, Enrolled, Finished, Lapsed, Rejected.
  • Internal jobs: Applied, Cancelled, Shortlisted, Filled, Enrolled, Finished, Rejected.

By default, the grid is sorted by Start date (descending) and displays 10 records per page. Use the navigation buttons to move between pages.

Filtering

Select Search to apply filters. Select Reset to return to the default view.

Filter Control type Default Description
User name or email Free text Blank Filter by learner or jobseeker full name or email address.
Group Multi-select tree view dropdown Select groups Filter by group. Only groups the logged-in administrator has access to are listed. When applied, the grid shows only records where both the learner or jobseeker and the placement, workshop, or internal job are allocated to the selected groups.
From / To Split date pickers Blank Filter by start date and planned end date of the enrolment.
Type Dropdown All Filter by placement or workshop type. This filter does not support filtering by internal jobs only. Options: All, Training, Work experience, Work-related project.

Grid columns

Column Sortable Format Description
Organisation name Yes (A–Z) String Name of the organisation associated with the placement, workshop, or internal job.
Category No String Placement or workshop category (comma-separated if multiple). Always blank for internal jobs.
Title Yes (A–Z) Link to the placement profile page Title of the placement, workshop, or internal job.
Contact No String with mailto hyperlink for email Contact details for the placement, workshop, or internal job: email address (as a mailto link), full name, and phone number (excluding extension).
User Yes (A–Z) Link to the user profile page (opens in same tab) Learner or jobseeker full name (first name and last name).
Start date Yes (numerical) dd/mm/yyyy Start date of the placement or workshop enrolment. Only applicable for Enrolled, Lapsed, or Finished statuses. Always blank for internal jobs.
Planned end date Yes (numerical) dd/mm/yyyy Planned end date of the placement or workshop enrolment. Only applicable for Enrolled, Lapsed, or Finished statuses. Always blank for internal jobs.
Actual end date Yes (numerical) dd/mm/yyyy Actual end date recorded against the placement or workshop enrolment, if Has ended is ticked and an actual end date has been entered on the Edit placement/workshop form. Always blank for internal jobs.
Number of days Yes (numerical) Integer Total calendar days the placement or workshop enrolment is planned for, calculated as Planned end date minus Start date. The Actual end date is not used in this calculation. Always blank for internal jobs.
Hours planned Yes (numerical) Integer Planned hours from the learning plan component associated with the placement or workshop enrolment. Always blank for internal jobs.
Hours logged / verified No hh:mm / hh:mm Logged and verified hours recorded against the placement or workshop enrolment. Applicable to any enrolment status. Displays 00:00 / 00:00 for Applied, Shortlisted, Filled, or Rejected placements and workshops. Displays – / – for internal jobs.

Export to CSV

Select the Export to CSV link at the top right of the grid to download the current view. The exported file is named Work Placements report.csv.

Note: enrolments with a status of Applied or Cancelled (where the learner or jobseeker applied independently or cancelled their application) are not included in the export until they have been updated by an administrator.

The CSV file contains the following columns:

  • User
  • User DOB
  • Organisation name – placement, workshop, or internal job organisation.
  • Organisation address – including postcode.
  • Organisation contact – contact name.
  • Organisation email – contact email address.
  • Organisation phone – contact phone number, excluding extension.
  • EDRS/ERN number – organisation EDRS or ERN number.
  • Placement/Workshop title
  • Placement/Workshop type
  • Placement/Workshop categories
  • Status – enrolment status.
  • Start date
  • Planned end date
  • Actual end date
  • Number of days
  • Hours planned
  • Hours logged
  • Hours verified
  • Placement/Workshop coach name – full name of the administrator who most recently updated the enrolment record.
  • Placement/Workshop date – date the enrolment was most recently updated.
  • Got a job date
  • Placement/Workshop ID
  • Current group – the learner or jobseeker's Aptem group allocation. Shows one group only, even if multiple are assigned.
  • Root group – the root group for the learner or jobseeker's Aptem group allocation. Shows one group only, even if multiple are assigned.
