Checkpoint learner summary screens

Learners, tutors, and admins can access checkpoint data at programme, cohort, and individual levels to track progress.

On the Learner Summary screen, admins and tutors can view detailed checkpoint data for a specific learner - helping them better understand and support individual progress.

 

Access

  • Checkpoint reports are available to admin users with the appropriate roles and permissions.

  • Tutors can view reports only for learners they are directly linked to, ensuring data confidentiality. However, tutors with the 'Tutor Console – View All in Assigned Group(s)' role can access data for all learners within their assigned groups, without being the case owner.

 

Navigation

1. On the menu to the left of your screen, navigate to ‘Checkpoint’

2. A list of Programmes is displayed

3. Click on a “Programme” to view checkpoint details relevant to that programme. From here, a programme-specific summary is displayed.
By default, you can see a maximum of 10 items per screen. To navigate through the list, you can:

  • use the pagination controls at the bottom of the screen.
  • use the searching and filtering functionality.

4. Select a programme from this list. A Learner Summary screen is displayed - this has all the checkpoint data for the learner. On the Learner Summary screen, you can view learner specific information in the following tabs: 

  • Programme Summary
  • Checkpoints
  • Learning Plan Components

Programme Summary

A high-level summary of the learner – when they are finishing their programme, the date of their next review if planned, and a summary of checkpoint metrics.

Checkpoints

Tab overview

The Checkpoints tab provides detailed insight into a learner’s performance across completed checkpoints.

Tutors and learners can access checkpoint data from both current and previous programmes within the Checkpoint Summary reports. This enables better tracking of learner progress over time. By default, the report displays data for the current programme only – the filter can then be amended to include previous programmes.

By default, up to 10 items are shown per screen. To browse the list, use:

  • Pagination controls at the bottom

  • Search and filter options

Displayed information per checkpoint

Each checkpoint displays:

  • Trigger – How the checkpoint was generated (automatically, periodically or manually)

  • Date Taken – When it was completed

  • Score – The result

  • Number of Questions – Total included

  • Time Spent – Duration of completion

When a tutor is using the checkpoint table in the learner’s profile and wants to track the progress of assigned checkpoints, they can:

  • View pending checkpoints clearly listed against the learner.

  • See a new “Status” column showing whether each checkpoint is Pending, Expired, or Completed.

  • Refer to the new “Date Created” column to understand when each checkpoint was added.

This helps tutors quickly identify outstanding actions and manage learner progress more efficiently.

 

Deleting checkpoints

Tutors can delete checkpoints that are no longer required, helping to keep records clean and accurate.

  • Only tutors with access to checkpoint (via the Checkpoint Tutor or Supervisor permission) can delete checkpoints. Learners and employers cannot delete checkpoints.

  • To delete a checkpoint, the tutor clicks the trash icon next to the relevant checkpoint. Aptem will display a confirmation dialogue so the tutor can confirm the deletion.

  • Once confirmed, the checkpoint is permanently removed from the learner’s record.

  • Only checkpoints with a status of Pending or Expired can be deleted. Completed checkpoints cannot be removed.

 

Expanded view details

Click the arrow at the end of a row to view:

  • Question type – Theory or Scenario

  • Answered correctly – Breakdown of correct/incorrect responses

    • For incorrect answers: both the learner’s response and the correct answer are shown

    • For correct answers: only the learner’s response is shown

If you expand a question, you will see an explanation for questions that the learner has answered correctly and feedback for questions where the learner has not answered the question correctly.

Export

Tutors can export data from the checkpoint history screen in CSV format for in-depth analysis and reporting. An "Export" button has been added to the screen, enabling tutors to convert the visible table data into CSV format. After exporting, a confirmation message, "Data exported successfully," appears to confirm that the process was completed correctly.

Filters

On the checkpoint tab, you can apply the following filters:

  • Trigger Type
  • Date Taken - From and To dates
  • Checkpoint score - From and To scores

Learning Plan Components

Learning plan components tab overview

The Learning Plan Components tab shows a learner’s progress across various curriculum components and mapped KSBs (Knowledge, Skills & Behaviours).

 

Component details

Each row displays:

  • Learning plan component – Name of the component

  • Component type – Type of component

  • Complete by – Programme-level deadline

  • Due by – Learner-specific deadline

  • Status – Current status

  • Mapped KSBs – Number of KSBs linked to the component

Use the arrow at the end of each row to view detailed KSB mapping.

 

 

Tutor functionality

Tutors can use this tab to monitor learner progress and provide targeted support:

  • View KSB details – Click the button within each row to see KSBs associated with the component.

  • Assess progress – A progress bar shows how far the learner has progressed towards completing each KSB.

  • Track completion – See the percentage completed per KSB.

    Note: Each KSB may link to multiple components. The progress bar reaches 100% only when all mapped components are completed.
    This mirrors the progress indicators shown in the main Learning Plan.

 

Filters

On the Learning Plan Components tab, you can apply the following filters:

  • Component Type
  • Complete by: From and To dates
  • Due by: From and To dates
  • Status

Search

You can search for specific learners by entering the name in the search input to quickly find specific individuals.

To clear the search input, click the 'x' icon inside the search box. This will reset the search and you can view all learners again.
