Review configuration in Programme Builder decides which sections, questions and field types each review type contains. Getting it right before learners start matters, because changing a review type that's already in use changes every review that uses it.
What can you configure?
Each review type is set up at programme level in Programme Builder. You choose its sections, add custom sections and questions, and pick a field type for each question. For answers longer than a single line, use the 'Text multiline' field type, which shows the full text entered. Comment boxes in a review hold up to 3,700 characters.
A review can include a Programme Status Selector section. When a review using it is completed and fully signed, the learner's programme status changes to the one selected in the review. The change is recorded in the Audit History.
How do custom questions get reused?
Custom questions are stored per custom section name. If you add a custom section with the same name as one already used on any programme in your tenant, its existing questions appear in the autocomplete list. A section with a new name starts with no questions to choose from.
Copying a review type from another programme
Aptem identifies review types by their title, so every review type in a programme needs a unique title. If you copy a review type with the same title as one already in the programme, the copy isn't added.
To copy it, first give the existing review type in your programme a different title, then copy the review again.
Using a custom review for a part-completion record
Aptem doesn't have a dedicated record for a part-completed apprenticeship. If you need one, create a custom review type that includes the Learner's Progress section and add custom sections for anything else you need to record. See A How-To-Guide to building a Review.
Can I add links to a review?
You can type a web address into a review, but it won't be clickable in the review or the PDF. To share a document, upload it to the Documents section of the review component so learners can open it from their learning plan.
Changing a review type that's already in use
We recommend you don't change a review type, including custom headings and questions, once learners are using it. Changes apply to reviews already completed, and data stored against the previous version can be lost. To make changes, clone the review type, amend the copy and apply it to the learners who need it. If you need a new version, give it a version number, for example "Tripartite Review v1.2", rather than deleting the old one. Deleting a review type that learners are using causes errors in their reviews; see Reviews: Troubleshooting guide.
Editing a review type's configuration changes every review that uses it, as above. Switching a programme to a different review type is different: it doesn't update reviews already created with the old type.
Why a finished review's PDF and screen can differ
When someone selects Finish, Aptem generates the review PDF from the configuration at that moment. If the configuration changes afterwards, the review screen follows the new configuration, so answers given against the old version no longer show on screen. The PDF still shows them, because it was generated from the earlier version.
