Create a review

Overview

You can create a review if you have the Advanced Delivery Management – Add permission. When you create a review, the system creates a corresponding activity in the learning plan.

Creating a review

Select Reviews from the learner navigation menu on the learner's record.

You can also navigate here from the learner management screen by selecting Reviews from the View column dropdown.

Complete the fields as described below.

Review name

Enter a name for the review.

Programme

Select the programme from the dropdown.

Review type

Select the review type from the dropdown. Only review types configured for the learner's enrolled programme are shown.

Is this a mandatory activity?

Specify whether this activity is mandatory. This option is only available where mandation has been enabled at the tenant level, and generally applies to employability programmes only.

Completion mode

Determines how the activity status is updated. Two options are available:

  • All evidence is accepted – the activity is completed when all required evidence has been accepted by the tutor, or when the review requirements have been met. Status updates are automated. This is the default.
  • Tutor decides – the tutor manually controls the activity status, including starting, progressing, and completing it. If evidence is required, it must still be provided before the tutor can mark the activity as complete.

Instructions

Instructions that the learner will see when viewing the review.

Evidence required

Tick this box if the review requires additional evidence to be submitted and marked by a tutor or work coach before the review can be completed.

Complete by

Specify when you expect the review to be completed. Setting this field places the review in the correct chronological position on the learning plan.

You can set the completion deadline by month, week, day, or a specific date. You can also select No set date.

  • Date – the activity must be completed before that date or it will show as overdue in the learning plan.

  • Month – the review must be completed within that number of months from the programme start date. For example, entering 1 means within the first month.

  • Week – the review must be completed within that number of weeks from the programme start date.

  • Day – the review must be completed within that number of days from the programme start date. For example, entering 10 means within the first 10 days.

Reviewer

Specify the reviewer who will be responsible for facilitating the review.

Upload file

Attach any files the learner needs access to as part of the review.

Schedule review now

The Schedule review now checkbox is unticked by default. Selecting it reveals additional scheduling options. The Review date is pre-populated using the Complete by date if a specific date has been set.

The current review status is shown at the top right of this section. Where the review has already been scheduled, the checkbox is replaced with the label Scheduled review.

The review task is automatically marked as complete when the facilitator finishes the review. For more information, see Review meeting tasks.

Meet online

Tick this box to create a Teams meeting directly from the review. Additional fields will appear where you can specify the meeting details.

Once all fields are completed, select Save.
