The Apprenticeship Agreement v5 shows the current programme values for off-the-job training hours and the practical period end date, rather than the values fixed at enrolment. This keeps the Agreement consistent with the Training Plan after events such as a change of employer or a return from a Break in Learning.
Note: Agreement v5 is enabled by default. Contact your Customer Success Manager or Aptem contact if it isn't visible.
What Agreement v5 shows
| Field | Agreement v3 and earlier | Agreement v5 |
|---|---|---|
| Planned off-the-job training hours | Fixed at enrolment | Current value from the learning plan |
| Practical period end date | Fixed at enrolment | Current value from the learner record |

All other fields are the same as in previous versions.
Enable Agreement v5
Agreement v5 needs your Customer Success Manager to enable the relevant option on your tenant. Once it's enabled, you can select v5 when configuring compliance documents in Programme Builder.
Select Agreement v5 in Programme Builder
- Sign in to Aptem Console as an administrator.
- Open the programme in Programme Builder.
- Go to the Compliance documents section.
- Select Apprenticeship Agreement v5 as the Agreement template.
- Save the programme.
New Agreements generated for learners on this programme show the current programme values.
Updating the end date
If a learner has gone past their planned end date, edit the learner's programme details and change the end date there. Then update the Agreement, so the new version shows the new date.
Who signs, and in what order
The learner signs the Apprenticeship Agreement first. Once they've signed it, it becomes available for the employer to sign. The Training Plan must be signed before the Apprenticeship Agreement. See Generating, updating and signing compliance documents.
Important notes
- Enabling Agreement v5 doesn't change Agreements already signed. Only Agreements generated after it's enabled use v5.
- Agreement v5 works alongside Training Plan v2.1. When both are in use, the planned hours and practical period end date match in both documents.
- If you don't enable Agreement v5, learners keep receiving the standard Agreement, which shows the Individualised Learner Record (ILR) values from enrolment.
