We also describe the pre-filled in fields - where the data in these fields is populated from. The DfE - Training Plan v1
The 'DfE - Training Plan v1' outlines how all three parties (the apprentice, employer, and training provider) will support the achievement of the apprenticeship. The document outlines the key milestones of the apprenticeship and the learning plan designed to achieve this.
Note
Please use this template in case the learning start date of the ProgrammeAim is later than or on 01/08/2022 to be sure that Off-the-job hours calculations and related formula present in the template (‘Off-The-Job Training Hours’ section) are consistent. Otherwise, please use the ‘Commitment Statement/DfE Commitment Statement 2020’ template instead.

The ‘DfE – Training Plan v1’ document contains the following types of data:

Free text inputs/text areas (once entered and saved, data will be stored in the document cache for Learner the document has been generated for)

In this section, you can find images of the various parts of the template, followed by brief descriptions.
A 'Version created' timestamp is displayed at the top left corner of the page.
The time displayed represents the time the template version was configured in the Programme builder > Compliance documents section,and is not the time when a particular document is generated for the learner.
When a compliance group is created in the Programme builder linked to a particular template, the timestamp is updated. If any further changes are made, a new version of a compliance group is created.
The timestamp in the document will always match the timestamp in the Programme builder (Learner's programme, for the same template).
In different programmes, the timestamp can be different for the same template.
NOTE: The 'Version created' timestamp will be present in the PDF footer area once the PDF file is generated based on Document Preview view.
If there is a logo that has been uploaded in the YourOrganisation settings, it is displayed at the top right corner of page.

Display format: decimal with 2 fractional digits
Populated only if the ILR episode status is ‘Newly submitted’ (or higher) AND ‘Weekly hours’ is provided for the latest Employment status of ’10 – In paid employment’ status.
Reflects Apprenticeship duration in weeks which is calculated as sum of ProgrammeAim(s) durations (‘Exclude from the batch’ aims are ignored), considering ’10 - In paid employment’ Employment status(es) ‘Date Status Applies’
start point for each sub-period duration = 'Learning Start date'.
end point for each sub-period duration (except last one) = ‘Learning actual end date’ if populated, otherwise ‘Learning planned end date’.

If none recorded, then the corresponding row is hidden (e.g. Learner has no initial assessment results recorded on ICT, but English and Math, there will be only ‘English’ and ‘Math’ rows displayed in the table.
‘Initial Assessment’ column reflects the latest results level recorded for Learner, identified by Initial Assessment ‘Date’ populated.

Subcontracted Apprenticeship is determined as follows: In Learner’s Learning Plan there is at least 1 component of ‘Qualification’ OR ‘Offline learning (placement/workshop)’ OR ‘Scheduled online event’ types, which has linked Organisation of non-YourOrganisation type; in case of ‘Qualification’ components, Organisation is to be set explicitly in component details; in case of ‘Offline learning (placement/workshop)’/’Scheduled online event’, Organisation is the one the related Placement is linked to.

Training Plan v2.1
Where a learner has a standard version set in Aptem, the Standard version field is now included in the generated Training Plan v2.1 document. If no standard version is set for the learner, the field is left blank in the document.
This field supports providers who need to evidence the correct version of the apprenticeship standard in their compliance documentation, particularly for EPA gateway submissions.
The standard version appears in the Training Plan v2.1 when:
The learner has a standard version set on their programme record
The Training Plan v2.1 template is used (not v1)
If the field is blank in the generated document, check that the standard version has been set on the learner's programme.
Training Plan v3
A new version of the Training Plan compliance document, Training Plan v3, is now available. It replaces the DfE logo with the DWP logo and aligns terminology with the 26/27 apprenticeship funding rules.
Training Plan v3 also updates the commitment statements shown to the provider, employer, and learner for any apprenticeship starting on or after 1 August 2026, so the wording reflects the 26/27 funding rules rather than the rules referenced in v1 and v2.1.
To use Training Plan v3 on a programme, add it as a new compliance document token in Programme Builder. As with previous version changes, we don't recommend adding the new template directly into an existing programme with learners already enrolled, as this will require them to sign the new document before continuing. Clone or create a new programme and add Training Plan v3 there instead.
Training Plan v3 doesn't change the field-by-field structure described elsewhere in this article; it updates branding and commitment statement wording only.
Generated PDF
Once all the required fields and signatures are provided, the signatory can click 'Save' to generate a PDF version of the 'DfE - Training Plan v1'.

Notes
The Key Milestones section within the Training Plan is populated using the learning aims recorded in the learner’s ILR. If a qualification aim is still appearing, this indicates that the associated learning aim remains active within the ILR data. Qualification aims cannot be removed directly from the Training Plan. In cases where delivery has taken place or funding has been claimed against the aim, the learning aim should typically remain in the ILR for compliance and audit purposes. If there are concerns about whether an aim should still be present, this should be reviewed with Aptem Support or the relevant compliance team before any ILR changes are made.
