Overview
The learning plan tracks your learner's progress against their programme and its components. It contains all the activities, digital learning assets, meetings and webinars the learner needs to complete.
The learning plan page gives an overview of the programme.
Learners use their learning plan to open learning activities and submit evidence for marking. Your view as a tutor is similar to the learner's, with some extra options.
You can use the learning plan page to:
- preview learning activities
- submit evidence
- mark evidence (see Marking learning plan evidence)
- add activities to the learning plan
- edit activities
- synchronise activities
For each activity type and how to use it, see A How-To-Guide to Learning Plan activities.
Activity details
All progress is tracked through activities, shown in a timeline. When you select a learning plan item, a panel on the right describes it. Use the icons at the top right of the panel to close or expand it.
Activity status
Each activity has one of these statuses:
- Not Started
- In Progress
- Evidence Required
- Evidence Submitted
- Completed
- Verified
- Referred
- None
Component owners
Each component has an owner, usually the learner's case owner. When you change a learner's case owner, the component owner updates automatically if:
- the component belongs to the learner's current programme episode
- the component isn't deleted, and
- the previous case owner is the component owner.
If component owners don't update, the case owner was probably changed after the learner was stopped on their programme, so the first condition isn't met. Or the component is owned by a sub-programme and they have a different case owner. To fix this:
- Set the case owner back to the one assigned before the learner was stopped. Check the learner's audit trail to find them.
- Apply the learner to the same programme again from the user profile only.
- Change the case owner to the one you want.
NOTE: If you are unsure about this process please reach out to our support team.
Sub-programme components aren't affected, as their ownership is set on the programme application form.
Viewing progress
The Target Progress bar shows how much of the learning plan is complete compared with what's currently due. For how this and criteria progress are worked out, see How learning plan and criteria progress are calculated.
Learning plan dropdown
Use the dropdown at the top of the learning plan page to view progress for any individual programme component.
The default view, Learning Plan, shows the overall programme.
If learning plan activities are mapped to standards and qualifications, select the component from the list to see the learner's progress against them.
You can also see the evidence and how it's mapped to specific criteria.
Manage learning plan
Most activities are set up at programme level. As a tutor, you can add, edit and delete activities for individual learners if your organisation gives you permission, for example to schedule meetings and reviews.
You can use the learning plan page to preview learning activities, submit and mark evidence (see Marking learning plan evidence), and add, edit or synchronise activities.
Ordering of learning plan components
Components are ordered by these rules, in turn:
- Due date (earliest first)
- Programme type (main programme components before sub-programme components)
- Sort order:
- Sort order is set in the programme build.
- If a component is edited later from the learner's learning plan, its sort order resets to 0, so it moves higher in the list.
- Components added directly to a learner's learning plan also default to sort order 0.
- Component ID (ascending), where components share a due date, programme type and sort order
Filtering
Activities are ordered as above and shown in a timeline. Overdue activities show at the top, and activities with 'No due date' at the bottom.
To filter activities, select Quick Filters above the activity list. These filters are available:
- Activities Overdue
- Requires Marking
- Feedback Received
- Secondary Tutor Responsibility
- Supported by other Tutor
- Ready for QA
For more options, select Filters above the activity list.
The Edit Filters panel opens on the right. You can filter by status, type and date, and select several statuses and types.
Preview digital learning
You can preview any digital learning activity on a learner's learning plan, to review the questions, assessment or eLearning they need to complete.
Select Preview on the activity.
QA
If you have the Internal Verifier role, you can plan QA in Aptem Console. See Planning for QA.
Manage evidence
If an activity has evidence attached, you can see its status.
As a tutor, you can submit evidence on the learner's behalf and mark evidence (see Marking learning plan evidence).
Once evidence is uploaded, the learning plan page updates to show it, unmarked.
The learner's case owner gets a notification in the messaging centre and by email that evidence has been submitted.
The learner's view then shows the activity as 'Evidence submitted', and the evidence as 'Requires Marking'. The status updates once the tutor accepts or refers the evidence.
