How learning plan and criteria progress are calculated

Aptem shows two kinds of progress. Learning plan progress counts components. Criteria progress counts the criteria of a standard or qualification that have accepted evidence. Each has an actual and an expected figure. This article explains how they're worked out, and the settings that stop progress counting.

Learning plan progress

Learning plan progress compares the components completed with the components due by today.

  • Actual is the number of components completed.

  • Expected is the number of components whose Complete by date has passed.

For example, 55 actual out of 69 expected means the learner has completed 55 components, and 69 were due by today.

Actual and expected component counts shown on the learning plan

Because expected progress follows due dates, it doesn't reach 100% until every due date has passed, even if the learner has already completed every component. It shows what should be done by now, not what the learner has done.

Criteria progress

Criteria progress shows how much of a standard or qualification is evidenced. To see it, select the standard or qualification from the dropdown at the top of the learning plan. See Overview (Learning Plan).

For evidence to count towards criteria progress:

  • the component must have Require evidence ticked

  • the evidence must be accepted against criteria mapped to the component

  • the criteria's weighting in the programme's learning plan must be above 0.

A section of a standard or qualification only reaches 100% once all the components mapped to it are complete.

Expected criteria progress uses the Complete by dates of the mapped components. If a mapped component has no Complete by date, expected progress can show lower than actual progress. Make sure every mapped component has a Complete by date.

The progress card on the dashboard

The progress card uses criteria progress, so it only counts evidence on components with Require evidence ticked. For how the card's Actual, Expected and MinExpected figures work, see Interpreting the Progress card measurements.

If progress isn't counting

What you see

Check

A component is complete with accepted evidence, but progress hasn't gone up

Require evidence is ticked on the component

Criteria percentages differ between the learning plan and the Evidence tab

Require evidence is ticked on every completed component

Mapped, accepted evidence on a Require evidence component doesn't add to progress

The criteria's weighting in the programme's learning plan isn't 0

Expected criteria progress is lower than actual

Every mapped component has a Complete by date

A learner's learning plan is complete, but expected progress isn't 100%

Nothing is wrong: expected progress reaches 100% when the last due date passes

To change Require evidence for learners already enrolled, edit the component in each learner's learning plan, or change it in the programme's learning plan template and use Learning plan synchronisation. See Editing an activity.
