What is included in the QAR Headlines tab of the Power BI Quality Dashboard?

Why haven’t my Power BI reports refreshed for some time?
Please be advised you will need to manually refresh the reports by clicking on Refresh link (shown below).
It will take a couple of minutes for the reports to refresh after clicking Refresh link. These reports will not be automatically refreshed and need to be refreshed manually to see the latest information.
I am unable to export underlying data from the Ofsted Quality Dashboard, why is this?
Users are unable to export any underlying data from Power BI, as the data that would be exported is your own, which has gone through many manipulations and calculations in order to be presented in Power BI in a specific visual way.
How do I report on Achievement rates along with Achievement Grades and Retention rates within Aptem?
Achievement rates
PowerBI report - The Ofsted Quality Dashboard contains achievement rates data by programme. This can be filtered by qualification/standard or framework and by planned end year. The tab that is probably most useful is Delivery by Qualification which then gives a further split by age/disability/ethnicity and gender, as shown below.
Achievement Grade
Achievement Grade for completed learners is available in the Funding Dashboard Power BI report -> Tab 'Learner Funding Data' -> Column 'Grade'.
Retention rates
While there is no specific retention percentage, this could be easily calculated from the learner count in PowerBI report - The Ofsted Quality Dashboard, tab Delivery by Qualification.
The Power BI Compliance Dashboard isn’t reporting the Commitment Statement signatures correctly, why is this?
If you are experiencing the Compliance Dashboard reporting Commitment Statement signatures as False, and you have confirmed that these documents have been signed by the relevant parties, this can be caused due to the name of the Commitment Statement template having been amended.
The Power BI report code only knows the document type by its title. This means that in order for the data to be reported accurately, the document will need to have "Commitment" in the title. Please ensure that the template you are using has “Commitment” in the title to resolve this issue. The name of your template can be edited via the Programme Builder.
How long does it take for Ofsted report details to appear in the Quality Power BI Dashboard after publication?
After an Ofsted report is published, our system follows a specific update schedule to ensure that timely and accurate information is reflected in the Quality Dashboard. Here's a breakdown of the update process:
- Checking for Updated Ofsted Reports: We initiate a check for updated published Ofsted reports around the 11th of each month. However, please note that the exact day may vary depending on the day of the week.
- Updating Quality BI Reports: Once we obtain the latest information from Ofsted, we proceed to update the ‘Menu’ report on the Quality Power BI dashboard, which includes the overall Ofsted rating. The updates can usually be seen approximately 7-10 days after the new file has been received (which as advised above is around the 11th of each month).
So, for example, if your Ofsted report was issued in June, you can expect the data to be updated before the end of July.
Please note, the updates are based on the date the reports are issued/published and not the date of the visit.
In the Base Data Export on the Funding Power BI Dashboard, why does the Count of Aims column not show the correct values?
Please be aware that if you export the Summary Table, the Count of Aims is NOT returned. However, if you select the Learner Aims detailed table for export, the Count of Aims is returned.
Additionally, if you use either the 'Data with current layout' or 'Summarized data' options to export, the correct value for Count of Aims is returned, and using the 'underlying data' option you can export the source data used for summarizing/calculating values in the dashboard.
Is there a way to prevent test learner data from appearing in the Monthly Overview Data (TNP/PMR) report on the Power BI dashboard?
To avoid displaying test learners on the report, you have two options.
You can either:
1) Delete the entire ILR for these test learners
or
2) Eliminate any PMR/TNP records by removing them from the ILR, preventing them from being included in the report.
If these options are not practical, you can apply filters after exporting the data.
When I export the QAR Headline Report from the Quality Dashboard in Power BI, I only get a handful of records for the hybrid year. Why aren't all of the records available to export?
QAR Headline Report from the Quality Dashboard does not include all learners because QAR calculations are based on planned end dates within the funding year. However, there is another tab named 'Learner Data Table' in the quality dashboard, which doesn't have any filters applied to it, so it displays all ILR aims for the hybrid end years greater than 2018/19.
The benefit of having this export is that you can review any potential discrepancies observed within the QAR summary table and verify the hybrid end year of the learners in question.
The Power BI data for the QAR Functional Skills report is including learners with a leave code of '40 - Learner has transferred to a new learning aim with the same provider' when they should be excluded, why is this?
Learner aims that have an Outcome of 3, a Withdrawal Reason of 40 and a matching restart should be excluded from the QAR Functional Skills data. The matching restart needs to be within 120 days and if the restart is over 120 days then the withdrawal should be included. If there is no matching restart aim, then they will also be included in the data.
Please check to make sure that there is a matching restart for the Functional Skills aim and that it is within 120 days of the original Functional Skills aim.
