Employer dashboard - Off-the-job hours drilldowns

Overview

As an employer, you can view drilldowns for items in the Off-the-job hours section of the Employer Dashboard to see detailed information and take action where needed. Drilldowns are available to employers with the Learners progress role.

Off-the-job hours drilldowns

The Off-the-job hours card on the Employer Dashboard shows three items: Insufficient hours planned, Behind target, and Ahead of target. Behind target and Ahead of target are measured against the planned OTJ (off-the-job) hours from the ILR. Selecting any item opens a drilldown grid showing the relevant learner details.

Selecting any other item opens the relevant learner grid. You can also use the Off-the-job hours filters on the drilldown view to navigate across learners with different OTJ statuses.

All three drilldown grids display the following columns:

  • Learner/programme
  • Tutor – case owner for the activities
  • Minimum required – the minimum number of OTJ hours required
  • Planned in ILR – the number of planned hours in the ILR
  • Completed – the number of completed hours in the learning plan
  • Forecast – the number of forecast hours in the learning plan
  • OTJ hours progress – the overall progress OTJ hours indicator used on the learner dashboard
  • RAG status – only shown if your organisation uses RAG (Red, Amber, Green) statuses
  • Status

On a tablet or mobile device, not all columns may be visible by default. Select any item in the grid to expand it and see the full detail.

Up to 10 items are shown per screen. Use the pagination controls at the bottom to navigate further.

Notes

  • The Start date and End date columns refer to the programme start and end dates.
  • If your organisation uses RAG statuses, hovering over a learner's RAG status shows the date it was last updated.
  • Hovering over a learner's OTJ hours progress column shows the completed percentage and the actual percentage.
  • Learners are ordered by the variance between forecast hours and planned hours, with the highest variance shown first. To sort by a different column, select the column header.
  • By default, the Employer Dashboard shows metrics only for learners on a delivery programme. Learners with the following programme statuses are excluded:
    • Non starter
    • Early leaver
    • Not eligible
    • Completed
    • Withdrawn
    • Withdrawn (w/o funding)
    • Imported

Search for a learner

Use the learner name search box above the grid. Enter three or more characters to search for a specific learner.

Filtering

You can set filters to narrow the view by programme, group, or other available criteria. Filters are available at all times, including within drilldowns.

Quick filters

Two quick filters are available: Programmes and Groups.

Select Programmes to set or reset the programmes multi-select filter. This shows all programmes and sub-programmes applicable to the learners on your dashboard. You can select one or more, and use the search bar to find a specific programme.

Detailed filters

For additional filtering options, select Filters at the top of the screen.

A filters panel opens on the right. You can filter by programme, groups, employer groups, status, and date. The programme, groups, and status fields offer multi-select lists; the options available depend on your role and access level.

To filter by date, select one of three date types: start date, practical period date, or end date. Then specify a date range.

Make your selections and select Done. The dashboard updates to reflect your filters.
