RPL Calculator (2026) is a process automation tracker that applies a Recognition of Prior Learning (RPL) reduction for learners starting their programme on or after 1 August 2026. It automatically creates the price reduction record needed for the ILR, so you do not need to add this manually afterwards.
Before you start
RPL Calculator (2026) is switched off by default. An administrator with the Manage Tenant Settings role needs to enable it before it appears as an option on the Create Tracker screen.
Select Settings on the left navigation bar.
Select General.
Under Process Automation Trackers, enable RPL Calculator (2026).
Select Save.
Note: RPL Calculator (2026) is only available for learners with a programme start date on or after 1 August 2026. For learners starting before that date, use RPL Calculator (2024) or the legacy RPL calculator instead.
Creating a tracker
From the trackers page or the learner's profile, select Create Tracker.
Select RPL Calculator (2026) as the tracker type.
Complete the RPL reduction details as prompted.
Select Save to create the tracker in New status.
A user with the Process Automation Trackers (pre-authorise) role can pre-authorise the request. A user with the Process Automation Trackers (process) role can then process it.
What happens when the tracker is processed
When RPL Calculator (2026) is processed:
The remaining planned off-the-job hours and the volume of hours removed due to RPL are recorded against the learner.
A RIP: Price Reduction financial record is created automatically on the learner's programme aim, with the calculated reduction amount.
The total training price (TNP1) is updated with the revised practical period price.
The learner's planned end date, and any affected component aim dates, are updated.
The RIP financial record is visible in the Financial Records section of the learner's ILR after processing.
Note: If a RIP: Price Reduction record already exists on the aim, processing the tracker overwrites it with the newly calculated values. This requires the Process Automation Trackers (process) permission.
Which calculator should I use
Aptem has three RPL trackers, each covering a different learner population:
