Use cases
Safeguarding and inclusion
Using Aptem Assess, skills radar and markers, administrators can create a clear profile of learner needs. They can record reasonable adjustments through actions in reviews, revisit these at each review, and group the learner with others requiring targeted monitoring. During inspection, leaders can show a structured evidence trail demonstrating early identification, ongoing support and consistent review.
Leadership and governance
A quality manager prepares for a governance meeting using data from the performance, caseload and quality dashboards. The dashboards highlight workload pressure in one team and progress risks for a specific cohort. Using this information, leaders can show inspectors how decisions are informed and how risk is monitored at every level of the organisation.
Curriculum, teaching and training
A tutor uses the learning plan to outline sequencing and curriculum intent. As teaching progresses, sub-programmes used to support individualism and additional support, tutors update reviews, adjust actions based on learner responses, and use skills radar to check what learners know and can do. Checkpoint* assessments provide fast insight into knowledge gaps and virtual assistant* supports learners with instant guidance, while marking aid* supports consistent and SEND-sensitive feedback. Inspectors can see clear evidence of intent → implementation → impact.
Achievement
A provider uses registration and certification data, performance dashboards, and skills radar targets aligned to KSBs to track progress and attainment. During inspection, the provider can evidence both qualification outcomes and broader skill development. QAR and accountability reports support discussions around cohort-level trends and continuous improvement.
Participation and personal development
A learner cohort takes part in digital skills, employability and enrichment activities delivered through sub-programmes. Custom reasons within the learning plan activities can be used to show when activities are amended due to non-engagement (possible by Aptem Admins, please contact support for more information on custom reasons), giving teams a structured way to identify when interventions are needed. Skills radar captures each learner’s starting point and development across wider learning areas. Inspectors can see meaningful participation and clear evidence that personal development, EDI and enrichment activity is planned, delivered and tracked.

Viewing Ofsted inspection outcomes in Aptem
Administrators can review inspection outcomes directly within the quality dashboard using the Ofsted Inspection page. This page presents inspection results alongside visual reporting aligned to the latest Ofsted Education Inspection Framework (EIF).
The page has recently been enhanced to provide clearer inspection reporting, including:
- A renamed Ofsted Inspection menu to better reflect its purpose.
- Separation of inspection information from grading results.
- Additional inspection details, such as inspection start date, published date, and whether the provider has improved or declined.
- Updated visualisations presenting both overall inspection outcomes and detailed grading results aligned with the EIF structure.
- Colour coding consistent with the official Ofsted grading presentation.
The updated layout is displayed for providers with inspections from November 2025 onwards, based on UKPRN using published Ofsted Management Information.
Admins reviewing inspection performance may wish to familiarise themselves with the updated layout and visualisations when preparing for inspection discussions or quality reviews.
