Using Actions in reviews

Overview

The Actions section in reviews allows tutors to record, track, and manage agreed actions for learners. Actions are shared across all reviews where the section is enabled, ensuring continuity and visibility of progress over time. Tutors can create actions, assign due dates, update their status, and manage actions created by any user. All changes are reflected dynamically across reviews so everyone always sees the latest information.

 

What tutors can do

As a tutor, you can:

  • Add actions with optional due dates

  • Edit, delete, duplicate, complete, or mark actions as Not required

  • View actions using Open, Closed, or All tabs

  • Reopen closed actions if required

  • Amend any action, regardless of who created it

  • See overdue indicators and completed dates

  • Export actions automatically as part of the review PDF

 

Adding actions

Where the Actions section is enabled in a review:

  1. Click Add an action.

  2. Enter the action details.

  3. (Optional) Add a due date.

  4. Save the review section to save the action. If you navigate away without saving, changes will be lost.

Viewing and organising actions

Action tabs

Actions are organised into three tabs:

  • Open – actions that are still active

  • Closed – completed or marked as not required

  • All – all actions, regardless of status

 

Sorting actions

You can reorder actions using the filter option in the top-right of the Actions section:

  • Due date (ascending – default)

  • Due date (descending)

The default view shows the most urgent actions first.

 

Overdue actions

When an action passes its due date, an overdue label appears showing how many days overdue it is.

 

Editing, duplicating, and closing actions

Using the three-dot menu to the right of an action, tutors can:

  • Edit the action details

  • Duplicate the action to quickly create a copy with a new due date

  • Delete the action (permanently removes it from the platform)

  • Mark the action as Not required

Actions marked as Not required move to the Closed tab but remain visible for reference.

 

Completing actions

  • Click the checkbox to the left of an action to mark it as complete

  • Completed actions:

    • Move to the Closed tab

    • Are greyed out and locked

    • Display a status tag (Completed or Not required)

    • Show the completed date

Closed actions can be reopened or deleted using the three-dot menu.

 

Saving changes

  • All changes (adding, editing, completing, reopening, or deleting actions) require the review section to be saved

  • A warning appears if there are unsaved changes

  • Leaving the section without saving will discard changes

 

Actions across reviews

Actions are dynamic and shared across all reviews where the Actions section is enabled.

This means:

  • Actions added or updated in one review appear automatically in all other reviews

  • The current status of actions is always visible to tutors, learners, and employers

  • Actions are carried forward from one review to the next, supporting ongoing progress tracking

 

Actions in review PDFs

All actions are included in the review PDF export with the following columns:

  • Action

  • Status

  • Due date

  • Created by

  • Closed date

  • Closed by

 

Working with learners and employers

  • Learners and employers can add actions in reviews they have access to.

  • They can only amend actions they created themselves.

  • Tutors can amend all actions, regardless of who created them.

  • All users can duplicate actions.
