Overview
The Actions section is a configurable, dynamic part of reviews in Aptem. Once enabled, actions can be created and managed directly within reviews and are shared across all reviews where the section is turned on.
Actions help tutors, learners, and employers track agreed tasks, due dates, and outcomes over time, ensuring everyone has visibility of what needs to be done and what has been completed.
Key features / enhancements
Dynamic, shared actions
Actions added, edited, completed, or closed in one review automatically appear across all reviews where the Actions section is enabled.
This ensures tutors, learners, and employers always see the most up-to-date status.
Tabbed views
-
Actions are organised into tabs:
Open
Closed
All
Users can quickly switch between tabs to focus on relevant actions.
Flexible action management
Add actions with optional due dates
Edit, delete, duplicate, complete, or mark actions as Not required
-
Closed actions display:
Status tag (Completed or Not required)
Closed date
Closed actions can be reopened if needed
Role-based editing
Tutors and administrators: Can amend any action, regardless of who created it
-
Learners and employers:
Can add actions in reviews they have access to
Can only amend actions they created themselves
All users: Can duplicate any action
Editability behaviour
The Actions section ignores per-review editability settings.
If a learner or employer can access a review, they can interact with actions according to their role permissions.
This is because actions are platform-wide and not restricted to a single review instance.
Unsaved changes warning
Users are warned if they attempt to navigate away with unsaved changes.
All action changes are only saved when the review section is saved.
Enabling Actions in reviews
To make actions available in a review:
Open the Programme Builder.
Select the relevant review token.
Turn on the Actions section.
Editability settings for the review do not restrict the Actions section. Actions remain editable according to user role permissions because they are shared across reviews.
