Learner profile: Troubleshooting guide

If an onboarding programme is created with just the Initial Assessment step and the Learner then moves to the delivery programme will the IA results still be visible in their profile?

Yes, the Initial Assessment results will be visible in the learning support section of the learner's profile after they are moved to the delivery programme.

Why can I not see some User Custom Fields in a User Profile?

If the learner is currently applied to a delivery programme which was created before the user custom fields were added to the account programme, these fields will also need to be added to the Custom Fields token in the delivery programme.

 

Why am I seeing a 'May Not Be Eligible' warning on a learner's profile?"

You may see a 'May Not Be Eligible' warning on a learner's profile (such as in the screenshot below).

This message is triggered based on the combination of responses provided by the learner during their onboarding process, specifically the three displayed in the extended Individualised Learner Record (ILR).

It's important to note that this warning is informative in nature and does not restrict any use of the system or hinder the process of claiming funding. Its primary purpose is to serve as an alert to the provider regarding potential eligibility concerns.

While the warning cannot be removed, it provides valuable insights to help providers identify and address any eligibility issues, enabling them to take appropriate actions and ensure compliance with the necessary criteria.

 

In the programme section of the User Profile page, where is the Enrolled date pulled from?

The Enrolled date is the date the Learner was allocated to their current programme.

If a learner’s programme has been stopped, they are allocated to the Account programme by default. In such a case, this field will show the date the Learner was added to the Account programme.

 

When editing the programme details for a learner, the minimum required hours value in the Key Summary appears to be incorrect, why is this?

This is due to the "Edit Programme" modal (Key Summary) doing a soft calculation based on the Employment status of the Learner.

If the Learner has multiple active Employment Statuses, the value shown on this page will differ slightly from the minimum required hours specified in the programme details. Please note, this should not cause any issues as long as the value is showing correctly in the ILR and Compliance Documents.

 

Why is there a dash showing for the Practical period end date in the Learner’s programme details screen in Console?

The Practical period end is showing as a dash ("-") because the EPA length in the Programme requirements section has not been filled in. This field needs to be updated in the Programme Builder.

When the EPA length is left empty, a dash will appear in the console, and the Practical period end will default to match the Apprenticeship end date in the Classic view.

How to ensure that the information entered into a custom field of a learner's profile is pulled through if the learner is enrolled onto another programme?

If you want the information entered into the custom field of a learner's profile to be retained when changing their programme, you need to add the same custom field to the new programme. To do this, navigate to User tab of the Custom fields token with the programme configuration, ensure that you select the exact same question from the dropdown list that appears.

Are learners able to fill in the 'Preferred name' field on the learner details?

No, this field will need to be completed by the tutor on the learner's behalf, by editing the Profile dashboard. The preferred name will not appear in place of the actual name on the learner account.

There is no option to change a learner's programme status. Why is this?

This happens when the learner is currently on the account programme, rather than enrolled on an onboarding or delivery programme.

A learner's programme status can only be changed once they are on an onboarding or delivery programme. Enrol the learner on the relevant programme, and the option to change their programme status becomes available.
