Process Automation: Troubleshooting guide

Here are some common questions and scenarios you might encounter.

 

What is the process for extending a break in learning, and what happens if the exact return date is unknown?

If the break duration needs to be extended, a Return to Learning tracker can be raised when the learner returns, and the learner’s return date can be entered in the Date of return to learning field. When the tracker is processed, the learner’s aims will automatically reflect the correct return date. There’s no need to update the ILR directly, as the planned return date isn’t recorded there.

If the exact return date is uncertain, you can update the tracker task with the correct details and reschedule the Return to Learning meeting. The date provided in the Break in Learning Tracker form doesn’t need to be exact, it serves as an estimate for monitoring purposes. However, once the tracker is processed, the return date cannot be changed in the tracker form.

A process automation tracker has been rejected. I would like to make the required changes and reassign it, why am I not able to do this?

Once a tracker has been rejected, it can no longer be reassigned or processed. Instead a new tracker will need to be raised. 

 

Why does the Change of Employer tracker not automatically update the "Employer has changed (OET 3)" field in the ILR employment status field?

The field should only pull through automatically if both the previous and new employer have ERNs of 999999999. However, the field can also be filled in manually at any time, for any Learners this applies to.

 

Why is the Return to Learning tracker not available for a learner returning from a Break in Learning, even though it’s enabled in the tracker settings?

If the Return to Learning tracker is not appearing, check whether the ILR token is enabled for the learner’s programme. If it is disabled, you’ll need to enable it for the tracker to become available for the learner.
