Bulk group updates

Overview

As an administrator with the Supervisor permission, you can make bulk updates on groups allocations applied to learners using Aptem Classic. The ‘Reassign on group’ option is available on the Users Group Profile screen to administrators with the Supervisor permission.

  1. On the Users Overview tile, navigate to the Users Group Profile screen, and click ‘Reassign on group’.

  2. The ‘Reassign on group’ modal is displayed:

    On the modal, select learners for whom you want to assign a new group. You can select individual learners using the corresponding checkboxes, or you can filter by the available options (group, status, case owner), and then use the ‘Select all’ option. After selecting the learners, click Next.
  3. On the next step, select a group from the groups tree. The groups tree view displays the groups accessible to the logged-in administrator.

  4. Only one group within the whole group hierarchy can be selected. After selecting a group, click Reassign.
  5. A confirmation message is displayed. Click Yes.

  6. If the reassign operation is successful, you will see a success message.

Notes

It is not possible to select a group from one Root hierarchy, and another group from another Root group hierarchy at the same time – only one group at a time.

Though, the background logic allows to keep ‘1 group per 1 root’ allocation on applying the changes – if a selected learner is already allocated to a group within a certain root, while a group of another root is selected on the wizard, the learner will still keep allocation to already assigned group and get the newly assigned group (of different root) as an extension to previous allocation.

 

Examples

Consider the following scenario and the cases given thereafter.

Overall Groups hierarchy is:

- Root group 1

-- Child of Root 1-1

-- Child of Root 1-2

- Root group 2

-- Child of Root 2-1

-- Child of Root 2-2

- Root group 3

  1. Case 1: Selected learner is already assigned to Child of Root 1-2 and child of Root 1-1 is selected on ‘Reassign on group’ wizard.
    • Outcome: after confirming, learner will be re-allocated to only child of Root 1-1 group.
  2. Case 2: Selected learner is already assigned to Child of Root 1-2 and Child of Root 2-2 is selected on ‘Reassign on group’ wizard.
    • Outcome: after confirming, learner will be allocated to both Child of Root 1-2 and Child of Root 2-2 groups, as these groups belong to different root hierarchies.
  3. Case 3: Logged in admin has access to Root group 2 hierarchy only, while selected learner is already allocated to Root group 3 and  Child of Root 2-2 – and Child of Root 2-1 is selected on ‘Reassign on group’ wizard.
    • Outcome: after confirming, learner will be allocated to both Child of Root 2-1 and Root group 3.
