Overview

Tutors and Administrators with the "Edit Learner Details" role can edit a learner's personal details and update learner information using the Console User Interface.

In cases where the ILR has been 'QA verified', you will need to also have the "ILR QA" role to update the ILR with the revised learner details.

Edit the Details section

To edit the learner's details, navigate to the Learner Profile screen and select the Learner Details tab.

Navigate to the Details section, and click theicon on the top right.

Editable fields will be displayed. Enter the revised details, and click Save.

In case you change the primary tutor, all the sub-programme components that were assigned to the previous primary tutor are now assigned to the new primary tutor.

Where the sub-programmes components were assigned to a secondary Tutor, you will be asked if you want to assign all of the learner's sub-programmes to the new primary tutor.

You can edit the Groups that the learner is assigned to. You can select one more groups to assign the learner to. Note that you can only view the groups that you have been given access to by your organisation.  

In addition, you can edit the following fields, in case they have been enabled on the Programme Requirements token:

• Reference number

• Preferred name 

• Min rate of pay 

• Learning Provider

• Authentication Type

After you have made your edits, click Save.

Notes about editing fields that impact the ILR

1. If you have the "Edit Learner Details" role and the "ILR QA" role, and the learner's ILR is not completed/QA verified, you can edit the fields.
2. If you have the "Edit Learner Details" role, but do not have the "ILR QA" role, and the learner's ILR is not completed/QA verified, you can edit the fields.
3. If you have the "Edit Learner Details" role and the "ILR QA" role, and the learner's ILR is completed/QA verified, you can edit the fields. While editing the Date of Birth field, You will see a warning icon, and on hover, you will see a message indicating that a change to the field will impact the ILR.
   
4. If you have the "Edit Learner Details" role but do not have the "ILR QA" role, and the learner's ILR is completed/QA verified, the Date of Birth field will not be editable, and you will see a lock icon.
   
5. If you do not have "Edit Learner Details" role, the edit icon will not be displayed, even if you have the "ILR QA" role.
