Tutors and Administrators with the "Edit Learner Details" role can edit a learner's personal details and update learner information using the Console User Interface.
In cases where the ILR has been 'QA verified', you will need to also have the "ILR QA" role to update the ILR with the revised learner details.
In case of updates to the learner's name, learner address, working conditions, or employer, Tutors and Administrators who do not have the "Edit Learner Details" role, but have process automation Trackers enabled on their tenant cannot directly edit the learner details, but can request a change using this process.
Tutors and Administrators who do not have the "Edit Learner Details" role, and do not have process automation Trackers enabled on their tenant will not be able to edit learner details.
Edit learner details
To edit a learner's details, navigate to the Learner profile screen and select the Learner Details tab.
On the Learner Details screen, you can edit the following:
Edit learner's name: To change the learner's title, first name, middle name and last name.
Edit the details section: To make changes to the Username, Date of birth, learner's groups, and to set learner access to Aptem console and/or Aptem classic.
Edit contact information: Make changes to the learner's Email, Personal email, Mobile, Landline or Street address
Edit Employer details: Refer to this article for making changes to your employer's name, address, manager or mentor. If you have Process automation enabled, you can create a tracker for change of working conditions, or change of employer.
Edit Referrer details: Make changes to the Referrer, Referrer address and Referrer contact (where enabled on your tenancy)
Edit Additional Information: To make changes to the custom user fields that are enabled on the tenant/programme token.
