Marking learning plan evidence

When a learner submits evidence against a learning plan activity, you review it, map it to criteria, give feedback, and accept or refer it. This article covers the marking steps and the settings that affect what happens next.

To submit evidence on a learner's behalf, see Submitting evidence.

Marking evidence

  1. On the Learners screen, use the Requires Marking quick filter.

  2. Open the learner's learning plan. If needed, filter activities to Evidence Submitted.

  3. Select the activity. The activity details panel opens on the right.

  4. Under the Evidence tab, select Mark Evidence.

  5. Select the evidence to mark from the list on the left. It may open in a new tab or download, depending on your browser.

  6. Check the pre-mapped criteria. Select any extra criteria the evidence meets, and deselect any it doesn't.

  7. Enter your feedback in the Feedback box.

  8. Under Submission Outcome, select Accepted or Referred.

  9. Select Save or Save & Close.

The learner receives your feedback through messages. An activity completes only when evidence is accepted against all its mapped criteria. See How learning plan and criteria progress are calcualted

Feedback

  • Feedback can be up to 3,700 characters. If it's longer, you'll see an error. Shorten it, and add the rest as a separate feedback comment.

  • Once sent, feedback can't be edited or removed, but you can add more comments.

  • If you paste feedback from another source, paste it into Notepad first. Hidden formatting can cause an error when you save.

  • To add a link, see Create a hyperlink in feedback comments.

Accepting resubmitted evidence

When a learner resubmits evidence after a referral, tick all the criteria the activity needs again when you accept it. If you don't, the activity stays 'Evidence Required', because Aptem expects more evidence until every criterion is met. If the new evidence doesn't meet every criterion, refer it so the learner can submit more.

If a learner edits evidence you've referred, it goes back to 'Requires Marking'. See Can a learner edit referred evidence?.

Checking evidence history

To see what's happened to a piece of evidence, for example why referred work is back to 'Requires Marking':

  1. Select Mark Evidence on the activity.

  2. Select the pencil icon next to the evidence.

  3. Select Show History.

Trainee assessors

If the tutor who marks evidence has the Trainee Assessor role, accepted evidence shows as 'Trainee Accepted' and the activity stays 'Evidence Submitted'. A tutor who isn't a trainee must then mark the trainee's marking. Once they do, the activity completes.

If the tutor isn't a trainee, remove the Trainee Assessor role from their account and give them the Assessor role instead.

When marking dates are recorded

A marking date is only recorded when an assessment report is generated by a tutor's action. Evidence added straight into Accepted, such as SCORM assets that don't need a tutor to assess them, has no marking date. The Accepted date shown is when the evidence was submitted.

To record when evidence was reviewed, set the activity to need tutor marking rather than accepting evidence automatically.

Viewing referred evidence in Aptem Classic

In Aptem Classic, referred (declined) evidence doesn't show when you search the learning plan, because declined evidence is hidden by default. To see it, tick Show declined evidence.
