Employers can view their learners' learning plans in read-only mode. This gives employers direct visibility of learner progress.
Before you begin
Learning plan access for employers requires:
The feature to be enabled on your tenant. Contact your Customer Success Manager to request this.
The "Employer - View Learning Plan" role assigned to each employer account that should have access.
Assign the role
Sign in to Aptem Console as an administrator.
Go to User management and open the relevant employer account.
Assign the Employer - View Learning Plan role.
Select Save.
The employer can now view learning plans for the learners they manage.
Note: The role must be assigned to each employer account individually. It is not applied automatically when the feature is enabled.
Access the learning plan
Once the role is assigned, employers can reach a learner's learning plan in three ways.
From the Learner record
Sign in to Console as an employer.
Select Learners from the left-hand navigation.
Select a learner's name to open their record, or use the jump menu in the Learners grid.
Select Learning Plan.
From the Employer Dashboard

Components Overdue
Learner Lifecycle
Learner Summary
Learning Plan Progress
RAG Status
Select any of these cards, then select a learner to open their learning plan with the relevant filters applied.

The Learning Plan Components and Components Overdue cards on the Learner Dashboard also link through to the learning plan.
From notifications
Employers can open a learner's learning plan directly from applicable system notifications.
Note: Employers only receive learning plan notifications if they also hold an assessor, trainee assessor, or internal verifier role.
What employers can see
Learning plan access is read-only throughout. Employers cannot submit evidence, edit components, or take any other action.
Components that are not applicable to employers are automatically hidden.
Employers can view the Evidence Summary for a learner, including submitted files and marking aid exercise PDFs.
The overdue count
The overdue component count on a dashboard card may appear higher than the number of overdue items visible in the learning plan. This happens when employer-only Review components are included in the learner's overdue total but are hidden from the employer's view. A tooltip on the relevant dashboard card explains this.
Hide sub-programme learning plans from employers
You can prevent employers from viewing learning plans for specific sub-programmes.
Open the relevant programme in Programme Builder.
Select the Learning Plan token.
Select the Hide sub-programme learning plan from employer checkbox.
Save the programme.
Sub-programme learning plans for that programme are now hidden from employers. The dashboard overdue count will still include components from hidden sub-programmes, with a tooltip explaining any discrepancy.
