Employers can now view learning plans in Console
Available with Aptem Essentials and above.
Employers can now access their learners' learning plans in Aptem Console in read-only mode. To enable access, assign the Employer — View Learning Plan role to the employer user.
Once the role is assigned, employers can open a learner's learning plan from:
- The Learner record or Learners grid jump menu
- Dashboard cards on the Employer Dashboard and Learner Dashboard (Learning Plan Components, Components Overdue, Learner Lifecycle, Learner Summary, Learning Plan Progress, and RAG Status)
- System notifications
Employers can view learning plan components, progress, and the Evidence Summary — including submitted files and marking aid exercise PDFs — without the ability to edit or mark anything.
Administrators can control whether employers can view sub-programme learning plans using a new option in Programme Builder. Sub-programme content will only be hidden if the option has been enabled before the learner is enrolled onto the sub-programme.
RPL Tracker (2026)
The date and duration inputs on the RPL Tracker (2026) have been redesigned. When processing an RPL case, you can now see the learner's contracted weekly working hours and choose from three duration options: a system-suggested end date, a custom date, or keeping the original date unchanged.
Apprenticeship Agreement v5
A new version of the Apprenticeship Agreement is available (off by default — contact your Customer Success Manager to enable). When enabled, the planned off-the-job training hours and planned end date reflect current learning plan values rather than the figures fixed at enrolment. The original ILR values remain on the document as labelled reference fields.
Marking aid — exercise management moved out of Programme Builder
Available with Aptem Enterprise.
This is the final reminder ahead of a change taking effect in the July 2026 release. From July, exercise management for marking aid will move entirely to the marking aid management area. The exercise management buttons will be removed from Programme Builder, which will show a link to the marking aid management area instead.
This change was announced in the January and March 2026 release notes. If you currently manage exercises from Programme Builder, switch to using the marking aid management area in Console before the July release.
26/27 ILR and funding rule changes
Additional 26/27 ILR and funding rule updates are planned. These will include further schema changes and updates to support the revised apprenticeship funding rules for the new academic year.
- 26/27 schema and batch file — Select the 2026/27 schema on programmes and export a compliant batch file for new starts and continuing learners.
- Hours Entity — Planned, actual, RPL, and additional delivery hours are now recorded in a structured Hours Entity. Legacy hours fields are still written in parallel and will be deprecated in January 2027.
- Agreement Identifier (AgreemId) — Automatically captured from the employer organisation and exported in the batch file. Contract Reference Numbers on existing FM36 records have been migrated automatically. Selecting an organisation on the ILR edit form now auto-populates both the Agreement Identifier and EDRS/ERN number.
- Funding Model 39 (Growth and Skills Short Course Offer) — Available for aims starting after 31 July 2026.
- RIP — Price Reduction financial type — Record Recognition of Prior Learning price reductions for DfE reporting. Limited to one per eligible aim (FM36 and FM81 with ProgType 25).
- Assessment organisation field — Now accepts both 7-character (EPA####) and 8-digit UKPRN formats; renamed from "End point assessment organisation".
- FUNDCOMP field retired — Removed from the 26/27 Learning Delivery HE modal and excluded from the 26/27 batch export. Historical data is preserved.
- DAM code 114 — Redundancy eligibility code, available for deliveries from 1 August 2026.
- LDM codes 374 and 396 — Now carry a valid-to date of 31 July 2026. These codes are not available for deliveries from 1 August 2026 onwards.
- Term Time Accommodation — A separate value is now required for each funding year from 2025/26 onwards for programmes spanning multiple years.
- Updated ILR privacy statement — Learners onboarding from January 2026 onwards see the 2026/27 version of the ILR privacy statement.
Changes
Email notifications — start date field wording clarified
Available with Aptem Essentials and above.
The description text for the start date threshold field in Email Notifications settings has been updated to read: "Email notifications will only be sent for learners with a programme start date on or after this date."
This resolves a recurring point of confusion for providers where learners are enrolled weeks before their programme start date.
Employer signature request emails — active programmes only
Available with Aptem Essentials and above.
Employers now only receive signature request emails for reviews belonging to programmes the learner is currently enrolled on. Previously, employers were incorrectly receiving notifications for reviews on programmes the learner had already left.
Minimum OTJ hours reference data updated
Available with Aptem Essentials and above.
Minimum off-the-job training hours have been updated to reflect the latest data from Skills England for eight apprenticeship standards: ST0341, ST0490, ST0216, FA0008, FA0009, ST1462, ST1484, and ST1512. The correct values display automatically — no action is required.

Mark Evidence page — OTJ hours adjustment resets criteria mapping: When a tutor used the pencil icon on the Mark Evidence page to adjust OTJ hours, criteria mapping was incorrectly reset to the component default, discarding any selections made during assessment. This has been fixed — criteria mapping is now preserved when OTJ hours are updated.
Performance Dashboard — inconsistent minimum OTJ hours in drilldown: The OTJ hours drilldown in the Performance Dashboard was applying inconsistent rounding, producing minimum hours figures that differed from the Learner Profile and other areas of the platform. The drilldown now uses the same data source as the rest of the platform.
Change of Employer tracker — 8-month minimum end date rejected: The tracker was applying the old 12-month minimum duration and rejecting valid planned end dates for apprenticeships starting on or after 1 August 2025. This has been fixed to align with the updated 2025/26 funding rules, which reduced the minimum to 8 months for eligible starts.
Message Centre — loading error when no conversations exist: The Show Notifications button in the Message Centre triggered a loading error on tenants or for learner-tutor pairs where no conversations had been started. The button is now disabled in this empty state, preventing the error.

Quality Dashboard — Ofsted Headline drilldown
Administrators can now drill down into the Learners with a Disability KPI on the Ofsted Headline page to view a detailed table of the learners that contribute to the result. The drilldown respects existing filters and access permissions and supports data export.
Quality Dashboard — Delivery page drilldown
Administrators can now drill down from learner-count metrics on the Delivery page to view the learners behind the selected result. The drilldown respects existing filters and access permissions and supports data export.
Quality Dashboard — Excluded learner visibility in QAR
A new filter on the Learner Aims data table allows excluded learners to be included in the view. When included, an exclusion reason field shows why each learner has been excluded from QAR calculations. Existing KPI and metric calculations are unchanged.
Quality Dashboard — Improved break in learning identification
Learners are now only removed from the Learners on a Break report when a valid returning aim exists and meets all required matching criteria. Two columns have been updated: Restart Flag (renamed) and Matched Restart Aim (new). Admins may wish to review learners with restart indicators to confirm they are reported in line with their actual status.
Quality Dashboard — QAR withdrawal reason code fix
Learners withdrawn with reason code 2 (Transferred to a new provider) are now correctly included in QAR Headline calculations. Admins may wish to review recent QAR results where learners have transferred to another provider.
Funding dashboard

Funding Dashboard — Outcome and balancing payment fix
Outcome Payment and Balancing Payment values now correctly reflect changes to TNP3 and TNP4 following a change of employer. Admins may wish to review affected learners where employer changes and TNP adjustments have occurred.

Pass FS integration
We are developing a new integration with Pass FS to support functional skills initial assessments within Aptem.
Activity Log — general availability
The Activity Log moves to general availability, bringing learner activity recording, tutor review and verification workflows, and tenant configuration controls to all providers.
- Learners can log off-the-job training, English and maths, and additional hours directly from their learning plan.
- Tutors can review, approve, and reject logged activities with direct notifications.
Apprenticeship Units — programme delivery support
Support for apprenticeship units within programme delivery. This focuses on removing barriers to using Aptem Apprentice in a fully compliant way, including a new training plan and core updates to support compliant programme delivery.
