Featured updates

New Privacy Statement for 25/26

We’ve updated the onboarding process to include the 25/26 privacy statement. From now on:

  • Learners reaching the ILR step for the first time will see the new 25/26 privacy statement.
  • Learners who previously completed this step will continue to see the version they originally accepted.

Enhanced Reviews

We have released the following enhancements to our beta trial customers.

Summary exports to Review PDF.

As a tutor, when I am using Review Summarisation to generate a summary of the meeting transcript, this summary will now export to the Review PDF so that I have an accurate PDF for my evidence pack.

 

Summarise all files when more than one transcript is uploaded.

As a tutor, when multiple files have been uploaded to the Meeting Summary section, clicking the 'Summarise' button will now summarise all files attached. Previously, the tutor would be prompted to choose just 1 file to summarise.

 

Error handling for review summarisation for known errors.

When a tutor tries to summarise a transcript file and encounters an error, they will be presented with a dialogue box informing them that an error has occurred, and they should try again. When a tutor uploads a file of less than 50 characters and tries to summarise the file, they will be presented with a dialogue box informing them that the file is too small to summarise. They should then upload a larger file to try again.

 

Minor updates and fixes

Reporting

The following updates to the reporting functionality will be made on Friday, 16 May.

  • Admins reviewing data in the Compliance Overview or Compliance Documents pages of the Compliance report can quickly access a specific Learner's dashboard to validate data or take action, by using the new Profile URL field. This field provides a direct hyperlink to the relevant Learner's dashboard, allowing Admins to seamlessly navigate without needing to leave the report or manually search for Learners elsewhere in the system.
  • Admin can now view accurate learner data in the Compliance Overview tab under 'Compliance' while filtering by funding status. They can use the updated Learner funding status and Learning status filters replacing the previous Funding status filter—to align with other dashboards and ensure correct learner data is displayed.

Reviews

Added warning message in the review token.

When an administrator is creating a review within the reviews token, and they would like to make a section visible to a particular user, they will now see a warning message. They will be reminded within the user interface (UI) that all sections will export to the PDF when the PDF is generated by the tutor at the end of the review. This is to improve the transparency of section visibility within the reviews token.

Compliance

Added OtJ type to Off the Job log compliance document.

The Off-the-Job Hours Log compliance document now clearly indicates the type of each OtJ hours entry, enabling auditors to validate the legitimacy and appropriateness of logged hours.

Marking Aid

Updated validation messages for amending/deleting assignments.

When an Admin uses the Programme Builder and attempts to delete or amend an assignment linked to a component, they are now presented with confirmation dialogues warning them of the consequences. This ensures that assignments are not modified or removed in error, especially where learner submissions already exist.

ILR

Updated LDM code descriptions.

The descriptions for the following LDM codes were updated.

  • LDM 331: Name changed from Prince's Trust Team Programme to King's Trust Team Programme.
  • LDM 378: Name change from Adult Level 3 Offer to Level 3 Free Courses for Jobs Offer.

Updated DAM codes 013 and 015.

The 'Valid to' date for the following DAM codes was updated to be 31/07/2026.

  • 013- Sector Based Work Academy Programme valid to 31/07/2026.
  • 015- Sector Based Work Academy Programme Job Outcome valid to 31/07/2026.

Integrations and Add-ons

Updated epaPRO (Proficient) to include 'Reschedule' option.

(epaPRO is now called Proficient) 

When a tutor is using epaPRO to update assessment details, and they select the next action required as “Reschedule”, this change will now be reflected in Aptem within the epaPRO section of the user profile.

Send Teams invite to email in personal email field.

When a learner is invited to a Teams meeting via Aptem and they have a personal email listed in Aptem they will receive a meeting invitation to both their main and personal emails.

Aptem Help Centre chatbot

We have added a new chatbot on the Aptem Help Centre to help you find information. For details, see: Using the Aptem Help Centre chatbot.

Fixes

  • Accessibility fixes:
    • We have updated all ARIA input fields to have an accessible name. This update is important for users relying on screen readers and accessibility tools while interacting with ARIA input fields in epaPRO The input fields are now correctly labelled, enabling users to complete tasks independently and accurately.
    • Admins using accessibility testing tools like Wave on the 'Learners' screen can now expect clean results without orphaned form label errors. We've updated non-functional <label> elements to use semantic alternatives like <span>, with appropriate ARIA attributes, improving compatibility with screen readers. This change enhances usability and accessibility compliance for all users relying on assistive technologies.
    • Fixed accessibility issues with form label associations on dashboards.
  • We have fixed an issue where changing the Funding Model from 36 to 99 (or any other unfunded model) on the programme aim in the ILR applied an incorrect Off-the-Job (OTJ) hours calculation in the Programme Details section of the user profile. This fix will mean that admins will be provided with the correct minimum when verifying the planned OTJ hours.

 

Upcoming features - within the next three releases

Based on the work we have completed in the past feature sprint(s), we have the following features lined up for release in the near future.

Marking aid and Feedback assistant

We are working towards our next iteration of the Aptem Enhance Marking aid and Feedback assistant features. We will be gathering feedback from our early adopter customers to work towards an iteration that will extend existing functionality allowing us to wider the use of the feature for beta trial customers.

Periodic Triggering in Checkpoint

We plan to change the periodic triggers in Checkpoint to be relative to the learner's start date, instead of the start date configured in Checkpoint settings. This will align with the way relative dates work in the Learning Plan and improve the user experience for learners, so that Checkpoints are staggered appropriately across their programme. This will allow customers who operate on a roll-on, roll-off basis to make use of the Checkpoint functionality.

Enhanced Reviews

We will be enhancing our Review summarisation capabilities, bringing summaries from previous reviews over to the current review and exporting summaries to OData.

Deprecation of CBC-Based Cipher Suites

To ensure customer connections to Aptem remain secure and to keep up with industry best practices, we will be deprecating the following TLS 1.2 cipher suites used by older browsers, as of 1st August 2025:

  • TLS_ECDHE_RSA_WITH_AES_128_CBC_SHA256
  • TLS_ECDHE_RSA_WITH_AES_256_CBC_SHA384
