Enhanced reviews
The first piece of functionality within enhanced reviews is now live – the review summarisation feature is now available to beta trial customers. The feature can be enabled at the tenant level by navigating to Console → Settings → Enhanced Reviews → Enable Review Summarisation.
Once enabled, review types with the 'Meeting Details' section enabled will display a “summarise” button and a “summary” box. Uploading or retrieving a transcript from Teams will enable the summarise button. Only one file can be summarised in the first iteration of review summarisation. The summarise button will asynchronously use AI to generate a summary of the transcript and populate the summary box. Tutors may then edit the summary.
Learners and employers who have access to view the review and the section will be able to see a read-only copy of the summary, but will not be able to edit it, even if they have editing rights.
Updates to Marking aid
Administrators can now make amendments to a Marking aid assignment.
Administrators using the 'Learning Plan' section of the Programme Builder to link components to Marking aid assignments can now use the edit link icon against the existing component link. This allows them to update or fix issues within an existing assignment. They can amend the title, description and questions presented to learners.
For this feature, any changes to the assignment will be updated for all learners that have this within their learning plan, even if they have completed the component. This replaces the current functionality of changing the linked assignments. If a user wants to change the linked assignment, first they must remove it from the component and then initiate the ‘Link Assignment’ process.
This feature is planned to be enabled for early adopters on 7 May 2025.
Known Issue
If the assignment name is amended, this will not reflect against the learning plan component ‘Marking aid assignment’ field within the programme builder. This will be fixed at a later date.
Updates to OData
Administrators using the Review Responses OData feed to report on Review responses can now report on newly added responses to the following review sections:
- Short and Long Term Goals
- EPA Gateway
- Core Topics
- Comments
The data can be accessed via the Review Responses OData table. This feature will be available immediately upon release for customers who already have the Review responses feed enabled within their tenant. Please note the responses will be available for reviews started after the release date. A migration of historic responses will be available in a future release.
Minor updates and fixes
Updates to Power BI - Caseload Dashboard
Detailed data for selected metrics displayed on the Caseload Dashboard tabs
Within the Caseload Dashboard, we have added the ability to drill down on metrics - this functionality is already available for the Data Checks tab, and we are expanding this across other applicable tabs. The following tabs now support detailed metrics:
- Assessor Overview
- Caseload by Assessor
- Overview by Programme Status
- Occupancy Report
Administrators can click on the number/metric, and the new learner detail table is displayed with the details. The learner data can then be filtered further by using the standard filters available on the left of the dashboard. These enhancements will be available to use from Monday 28th April 2025.
'Cancelled learners' now included within the Caseload Dashboard
When a MIS manager is using the Caseload Dashboard and they want to be able to differentiate between the subscription status of learners in the measures/tables they can do this by using the new Subscription status filter that has been add to all pages. The new filter allows users to add learners that have a subscription status of 'Cancelled' or 'Expired' to be displayed within the dashboard. Note that such learners are excluded by default.
Other update to Reviews
ODT and PDF options no longer supported for transcript upload
When a tutor, learner or employer wants to upload a file to the Transcripts and Meeting notes review section, they will no longer be able to upload ODT or PDF files. This is to ensure all uploaded file types can be utilised by the summarisation service.
Updates to ILR
Updated LDM codes
We adjusted the valid date ranges for existing LDM codes to ensure that our customers can accurately report their learners to government funding organizations:
- 389 LSIF – Local Skills Improvement Fund – Additionality 01/09/2023 31/03/2026
- 390 LSIF – Local Skills Improvement Fund – Delivery 01/09/2023 31/03/2026
- 392 LDD Apprenticeships English and Maths flexibilities 01/08/2024
We have also added LDM codes 399, 400 and 401, valid from 1st August 2024. This change improves the accuracy and compliance of learner reporting, aligning with current government requirements.
Minor improvements and fixes
- As a tutor, you can now view a learner’s mentor’s phone number and email address, if present, in the learner’s profile in Console.
- When a learner is being opted out of a functional skill in Console, the 'Key Milestones' now show as opted out in the Training plan.
- When a compliance manager is using the 'Learning Plan components' OData feed and they want to report on how many Meeting components were flagged as “online”, they can now report on this via OData. In order to report on the 'Meet Online' flag in OData, users should include the MeetingComponent_MeetOnline property in their request. For example:
/odata/1.0/learningPlanComponents?$select=Id,MeetingComponent_MeetOnline - When an administrator is using LearningPlanComponents OData feed to build custom report and they limit number of records being returned, this substantially reduces the duration of the data request and no timeouts happen as a result of that. Recommended data page size for a good balance between performance and number of requests initiated implies restricting number of data rows returned to 5000 or less. This fix is planned to be implemented on 6th May.
Upcoming features - within the next three releases.
Based on the work we have completed in the past feature sprint(s), we have the following features lined up for release in the near future.
Marking aid and Feedback assistant.
We are working towards our next iteration of the Aptem Enhance Marking aid and Feedback assistant features. We will be gathering feedback from our early adopter customers to work towards an iteration that will extend existing functionality allowing us to wider the use of the feature for beta trial customers.
Periodic Triggering in Checkpoint.
We plan to change the periodic triggers in Checkpoint to be relative to the learner's start date, instead of the start date configured in Checkpoint settings. This will align with the way relative dates work in the Learning Plan and improve the user experience for learners, so that Checkpoints are staggered appropriately across their programme. This will allow customers who operate on a roll-on, roll-off basis to make use of the Checkpoint functionality.
Enhanced Reviews.
We will be enhancing our Review summarisation capabilities, bringing summaries from previous reviews over to the current review and exporting summaries to OData and the review PDF.
Deprecation of CBC-Based Cipher Suites
To ensure customer connections to Aptem remain secure and to keep up with industry best practices, we will be deprecating the following TLS 1.2 cipher suites used by older browsers, as of 1st August 2025:
- TLS_ECDHE_RSA_WITH_AES_128_CBC_SHA256
- TLS_ECDHE_RSA_WITH_AES_256_CBC_SHA384
