Set up a periodic trigger
To set up a periodic checkpoint, you must have the ‘Manage Tenant Settings’ role and either the ‘Supervisor' or 'Checkpoint Tutor’ roles.
Navigate to Settings > General in the left-hand menu. Under Checkpoint settings, enable Periodic Trigger.
When enabled, checkpoints will be shown to learners at set intervals. These include questions based on completed learning plan components, either pre-mapped in curriculum design or mapped by tutors.
Creating a periodic trigger configuration
By clicking Additional Settings under the Periodic Trigger panel, you will see a table showing all configured triggers with:

Name – Trigger name
Programmes – Linked programmes
Edit/Delete icons – Modify or remove configuration
Click 'Create Periodic Configuration' to configure your checkpoint and complete the following fields:

Name – Configuration name
Programmes – Programmes this applies to (multiple allowed)
Checkpoint Expiry – Days until the checkpoint expires

Number of questions & frequency:
Theory questions per KSB – 1 to 3 (must be >0)
Scenario questions per KSB – 1 to 3 (must be >0)

Frequency – Day, week, month, or quarter
Note: A checkpoint won't trigger unless at least 3 KSBs were completed in the period.
Click Save Changes to activate the checkpoint for learners in the selected programmes who have checkpoint enabled.
You can also set up multiple triggers for a programme, each with different cadences (e.g. weekly or monthly).
Notes
Checkpoints are not created for learning plan components completed before this setup is saved.
You can combine automatic, periodic, and manual checkpoints in a programme.
Each periodic checkpoint will include a scenario question in addition to theory questions.
On reports, theory and scenario questions are clearly labelled.
- The trigger will be based on the learner’s start date. The behaviour of triggering is based on completion of learning plan components with a minimum of 3 KSBs mapped within in the period specified, as per today’s behaviour. For example: A periodic checkpoint configuration is created for “1 month” with no expiry. Learner A’s start date is 01/06/2025 and Learner B’s start date is 15/06/2025. Checkpoints will be created for Learner A on the 1st of each month, and Learner B on the 15th of each month, where they have completed learning plan components with at least 3 KSBs in the previous month. Checkpoints will be generated within these parameters until the learner’s end date, or on deletion of the periodic trigger settings.
Edit a periodic trigger configuration
Once a periodic configuration has been created, it is listed in a table as shown below with its checkpoint configuration. Click the Edit (pencil) icon next to a configuration.

Update any of the fields as needed:
Name, Programmes, Checkpoint Expiry
Theory/Scenario Questions per KSB (1–3)
Frequency
Note: A programme can only belong to one configuration at a time.
Click Save Changes to apply updates to all affected learners.
Delete a periodic trigger configuration
To adjust the periodic configuration options, administrators can delete unwanted settings from the Periodic Trigger setting page.
Use the delete icon on the far right of the checkpoint you wish to delete.
Any checkpoints previously triggered with these settings will remain available within the learner and reporting screens. These settings being removed will therefore prevent any future checkpoints from being triggered.
Note that deleting a Periodic Configuration will result in no future checkpoints of these settings being surfaced to Learners. Any checkpoints (outstanding or completed) will remain within the learner views and reporting screens for review.
