This article is only relevant to customers using the DWP Restart programme, where the delivery type is set to Employ - Restart. If you are unsure whether this applies to your organisation, contact your Aptem administrator.
Work coaches can use the Not Completed status to evidence that a participant has not engaged with or completed a mandatory activity. Where an activity is mandatory and its status is changed to Not Completed, a monitoring tracker is automatically generated for the work coach to action.
How to mark an activity as not completed
- Navigate to the participant's action plan via the participant dashboard or the participant navigation bar. Locate the activity you want to mark as not completed.
- Select the options icon (⋮) on the right of the activity card. Select Mark as Not Completed. This option is visible to any administrator with access to the action plan, including Standard Administrators. No additional roles are required.
- Select a reason from the dropdown list and select Mark as Not Completed. The available reasons are configured at tenant level via Programme Builder > Tasks > Cancellation reasons.
- The activity details panel on the right updates to show the Not Completed status and the reason you provided.
- If the activity is set as mandatory and its status changes to Not Completed, an automatic monitoring tracker is generated in the participant's profile for the work coach to action.
Finding activities with a Not Completed status
You can filter the action plan to show only activities with a Not Completed status.
On the action plan screen, select Filters.
The Edit Filters panel opens on the right of your screen. Filter by status and select Not Completed to view the relevant activities.
Things to know
- Not Completed can only be applied to activities with a completion mode of Tutor Decides. The option is not available for the following activity types: Resource Centre Usage and Job Search.
- The option is available for both sub-programme activities and delivery programme activities.
- Not Completed cannot be applied to activities that are already in a Not Completed or Completed status.
- Activities marked as Not Completed are treated as finished and do not count towards overdue activity totals or the Activities Overdue card on the dashboard.
- Once an activity has a Not Completed status, its status cannot be changed directly.

If an activity was marked as Not Completed in error, contact an administrator with both Advanced Delivery Management (Edit) and Edit/Delete Finished Components roles. They can edit the activity and change its Completion Mode to All Evidence Accepted, which reverts the Not Completed status. Note that:
- This will not remove or close any associated monitoring tracker that was previously created.
- The reason recorded when the activity was marked as not completed will remain visible in the activity details.
