Submitting evidence

For activities that require evidence, you can submit evidence on behalf of a learner as a file or a note. A note allows you to enter text directly as the evidence. When submitting, you must indicate whether the evidence counts towards off-the-job (OTJ) hours.

How to submit evidence

Navigate to the action plan for the learner. Select the title of the activity for which you want to submit evidence. The activity details panel opens on the right of your screen. Select the expand icon (two outward-facing arrows) to view the full details.

Evidence types

Whether submitting a file or a note, you can specify one of the following evidence types:

  • CPD
  • Observation
  • Oral questions
  • Other
  • Personal Statement
  • Product Evidence
  • Professional Discussion
  • Project
  • Tests/Exam
  • Witness testimony
  • Written questions

Adding a file as evidence

Select Upload File and browse to the file on your device.

Select the evidence type from the list above.

In the Completion Date field, enter the date the evidence was produced.

If the evidence counts towards OTJ hours, enter the number of hours and minutes in hh:mm format and select the Off-the-Job Hours Type from the dropdown. If it does not count towards OTJ hours, clear the OTJ hours checkbox.

Use Select Files or drag and drop to upload. Only one file can be uploaded at a time. To submit multiple files, compress them into a single zip file before uploading.

Supported file types: .pdf, .doc, .docx, .xls, .xlsx, .ppt, .pps, .pptx, .ppsx, .txt, .csv, .eml, .msg, .zip, .jpeg, .jpg, .bmp, .gif, .png, .mp3, .mpeg, .aac, .flac, .mp4a, .m4a, .wav, .wma, .aiff, .3gp, .mp4, .avi, .flv, .m4v, .webm, .wmv, .odt, .ods, .odp, .arf, and .wrf.

The maximum file size is 1 GB.

Select Save. The file is stored against the action plan activity and appears in the evidence panel, ready for marking.

If a learner has incorrectly named an uploaded file, they will need to delete it, rename the file on their device, and reupload it.

Adding a note as evidence

Select Add Note.

Select the evidence type from the list above.

In the Completion Date field, enter the date the evidence was produced. This defaults to today's date.

Type the note content in the text box. This is the evidence that will be marked against the activity.

Select Save. The note is stored against the action plan activity and appears in the evidence panel, ready for marking.
