What admins can do in Aptem depends on the roles and permissions on their account, and on the groups they can access. This article covers common permission rules. Your organisation's Aptem Superuser can change an admin's roles and permissions.
To set up an admin and their groups, see Adding an administrator to one or more groups. For how group access works, see Groups overview.
When role changes take effect
Changes to an admin's roles can take up to an hour to apply. If they still haven't taken effect after an hour, contact Aptem Support.
Editing admin profiles
To edit another admin's profile, you need the Supervisor permission. If you don't have it, ask your Aptem Superuser.
Editing learner details in Aptem Classic
By default, every admin can edit learner details in Aptem Classic, even without the Edit learner details permission. The exception is an admin who only has Tutor Console permissions: they can't edit learner details in Aptem Classic.
Holding the Assessor and Internal Verifier roles together
An admin can have both the Assessor and Internal Verifier roles. To switch between them, open a component with submitted evidence and use the Actions dropdown.
Seeing Employer logins
Admins can only see Employer logins in groups they have access to. To see others, ask your Aptem Superuser to add the relevant groups to your account. See Adding an administrator to one or more groups.
Rescheduling reviews
Manage Calendars lets you reschedule and change calendar tasks and appointments, including reviews for learners who aren't in your caseload.
To reschedule a review that's already In progress, you need Advanced Delivery Management (Edit) or Supervisor. Edit the review from the Planned tab of the Reviews grid, or use the scheduling assistant. You can enter a reason for rescheduling.
See Editing and deleting a review. If your organisation uses the Microsoft Teams connector, see Rescheduling and cancelling Reviews and Meetings.
