Scheduling assistant

The Scheduling Assistant enables work coaches to book appointments by viewing multiple diaries at once. You can schedule appointments into your own diary, as well as the diaries of your participants and other work coaches.

Navigating to the Scheduling Assistant

On the Reviews screen, navigate to the Planned tab. Locate the Scheduling Assistant icon under the Status column. This icon appears against reviews that have not yet been scheduled. Select the icon to open the Scheduling Assistant.

Scheduling an appointment

The Scheduling Assistant screen displays the calendars for the participant and the work coach.

To add further work coaches to the view, select Add calendar from the work coach dropdown. The Select Calendars screen opens.

On this screen you can view the current caseload size and available capacity for each work coach. Filter the list by group or search by name. Use the checkboxes to select the work coaches you want to add. Selecting Select all selects all work coaches currently displayed.

Use the shared diary view to find a suitable time and select the time slot you want to book.

A panel opens on the right of your screen. Confirm the date and time.

By default, the primary work coach is set as the review owner. If you are adding additional work coaches, you can specify whether each should be a review owner only, or the new case owner for that participant.

Once you have added all participants and work coaches, select Schedule.
