Overview
The Scheduling Assistant enables work coaches to book appointments in an easy way. You can view multiple diaries and you can schedule appointments into your diary, as well as the diaries of your participants and other work coaches.
Navigation
On the Reviews screen, navigate to the Planned reviews. Locate the Scheduling Assistant icon under the Status column.
This icon will appear against those reviews that have not yet been scheduled. Click on the icon.
The Scheduling Assistant screen is displayed.
In this example, you see the calendar for both the participant and the work coach.
If you want to view the availability for additional work coaches, you can add their calendars and then schedule an appointment.
You can also see the current case load size and available capacity for each work coach.
On the Work Coach dropdown list, click Add calendar.
A Select Calendars screen is displayed.
Here you can select work coaches you want to add. You can filter the list by group, or you can search for a name.

Use the check box to select the coaches. Using the select all option will select all coaches on the current screen.
Use the shared diary view to find a suitable time. Click on the time slot you want to book.
A panel pops up on the right of your screen. Confirm the date and time.
By default, the primary work coach is the review owner. If you are adding additional work coaches to a review, you can specify if you want them to be just a review owner or if you want them to be the new case owner for that participant.
After adding the participants and work coaches, click Schedule.
