Overview
The Learners page shows you a summary of all your learners and learners that you have been given the permission to view. To navigate to this section, use the Learners menu item on the side bar.
The learners grid lists all the learners you are responsible for.
You can see a maximum of 10 learners per screen. To navigate through the list of learners, you can:
- use the pagination controls at the bottom of the screen
- use sorting
- use the searching and filtering functionality
When you click a learner name from this screen, you are taken to the learner's dashboard.
Grid overview
The learner list has information about all the learners you are responsible for. This information is arranged in various columns. Some columns can used to sort the information by clicking on the column headers.
Programme start date and Programme end date
These columns show the start date and the end date of the programme.
Employer
This column shows the name of the learner's employer. If you have been given permission to do so you can click on the Employer name to see the Organisation profile page.
Programme Status
This column gives the current programme status of the learner.
Learning plan progress
This column has an infographic that displays the learning plan progress. It shows the progress in terms of percentage completion. The horizontal red line indicates progress made. The vertical line shows the target progress. The number on the right indicates the progress made - in this case 10% of the learning plan has been completed.
Using the infographic, you can see whether or not the learner is on track with regard to their learning plan progress. Hover over this infographic to see more details.
RAG status
This column shows the current RAG status of the learners and is set via the review process. During a review, tutors can rate the learner's progress as Red, Amber or Green.
Once a review has been completed, and a RAG status has been set, this field is updated. The RAG status can be viewed by the learner/tutor/employer on the review, and on the dashboard.
View
You can use the dropdown on the view column to jump to a view specific details for a learner, such as:
- Learning Plan - View the learner's learning plan
- Dashboard - View the learner's dashboard
- Tasks - You can view and manage tasks for the learner
- Messages - View messages exchanged with the learner, and send / receive messages
- Documents - View documents relevant to the learner
- Reviews - View learner reviews
- Skills Radar - View the learner's skills radar
Sorting
You can sort learners by Learner/Programme, Employer and Programme status. To sort learners, click on Learner/Programme, Employer or Programme Status in the header row of the learner list grid.
Sorting by clicking the Learner/Programme column will sort learners by their surname.
Searching and filtering
To narrow down your learner list, you can use the search box and the quick filters available at the top of the learner list.
Applying a quick filter refreshes the Learners grid and displays only the learners relevant to the selected filter.
Trainee Tutor Feedback Required
The Trainee Tutor Feedback Required quick filter draws the attention of Assessors and Trainee Assessors to Learning Plan evidence that is pending assessment or validation.
This filter is visible only to tutors with the following roles:
Trainee Assessor
Assessor
Trainee Assessors will see learners with evidence pending initial assessment.
Assessors will see learners with evidence assessed by Trainee Assessors and pending validation from experienced tutors.
User Group access restrictions and the selected view (My Learners / Secondary Learners / All Learners) are also applied to the resulting list.
Trainee Assessor role
If a tutor has the Trainee Assessor role, the Learner grid will display all learners who:
Have the Learning Plan enabled in their current programme, and
Have at least one active component (i.e., not soft-deleted) with Evidence Submitted status.
Assessor role
If a tutor has the Assessor role, the Learner grid will display all learners who:
Have the Learning Plan enabled in their current programme, and
Have at least one active component (i.e., not soft-deleted) with Evidence Submitted status, and
Within these component(s), have active evidence (i.e., not soft-deleted) with Trainee Accepted or Trainee Referred status.
Advanced filters
Apart from using quick filters, you can apply advanced filters for more comprehensive filtering. You can filter by programme, groups, employer, manager, primary tutor, status, start date, practical period date, and end date. To use advanced filtering, click Filters at the top left of the learner list.
Troubleshooting tips
Is the Programme End Date shown in the Learner’s Grid the Practical Period End Date or the Apprenticeship End Date?
The Programme End Date in the Learner’s Grid is the Practical Period End Date.
Both the Practical Period End Date and the Apprenticeship End Date can be seen in the Learner Dashboard.
Why can a tutor see all learners, even those that are not assigned to them?
A tutor will be able to see all learners for the groups they are assigned to if they have the “Tutor Console – View all in assigned groups” permission.
They can filter between “All Learners”, “My Learners” and "Secondary Learners" using the filters available in the Tutor Console.
To restrict the learners that a tutor can see, you can remove them from any groups that they don’t require access to.
Why am I unable to filter for a specific programme in the Tutor Console?
The Tutor Console Learner filter will only filter for Programmes that have active learners enrolled. Once you have enroled a user, you should see the programme available when using the filter.
