Activity log
Activity log is a more intuitive and efficient way for apprentices to record all their learning hours, making it easier to track progress and ensure compliance. This functionality will also make it easier for tutors and admins to review, manage, and audit activity records. This feature is currently available to a limited number of early-access customers. We’ll share further updates once we’re ready to widen availability.
Activity log for admins and tutors
Tenant settings
Tenant administrators can control adoption of Activity logging via:
A global on/off toggle
Programme-level enablement
Protection: preventing removal of programmes that already contain activity data.
Navigation and landing screen
Once enabled at tenant level, admins and tutors can access activity logging from a dedicated left-hand navigation item.
The activity log landing page includes:
Activities to review (counts of Submitted/Resubmitted items, scoped to their caseload)
No accepted activity logged in 28 days (to help identify at-risk learners)
My learners
Review and manage learner activities
Admins can open activities directly from learner history to:
Review accepted activities (read-only).
Review and update submitted/rejected/resubmitted activities.
Accept or reject with mandatory rejection reason (where relevant).
Delete eligible activities with confirmation.
Learner activity history
Admins and tutors can open a learner’s activity history with pagination, filtering (component/type/status/date), and sorting by activity date to find specific records quickly.
Notifications
Tutors can receive notifications when learners submit or resubmit activities, with direct links for faster review.
Audit export
Admins can download a CSV audit log of a learner’s activity history, including learner, programme, planned hours, activity details, and rejection reasons.

Activity log landing screen and history
Learners can access their activity log history, showing a table of all logged activities.
The history supports empty states (when no activity exists) and a prominent Log New Activity button to speed up repeat logging.
Edit, resubmit, view, and delete
From Activity log history, learners can open an activity to:
Edit entries that are Submitted, Rejected, or Resubmitted.
View tutor feedback when correcting a rejected activity.
Automatically move from Rejected → Resubmitted when saving corrections.
View Accepted activities in read-only mode.
Delete Submitted/Rejected/Resubmitted entries (with confirmation).
'Log activity' screen
Learners can log activity using a dedicated form that captures all required details, including:

Learners receive a notification when an activity is Rejected, with a direct link to the activity so they can act quickly.

Marking aid
Multiple marking aid attempts grouped under one evidence item
When a learner/admin uses marking aid linked learning plan component to view historical marking aid exercise submission attempts data, they can now find it grouped under just one evidence item, within its assessment reports grid.
This change streamlines the way marking aid data is exposed for learning plan components exercises are linked against. The most recent and relevant submission is accessible via the hyperlink on the evidence item, while historical assessment reports can be viewed by expanding the evidence record - same as for the rest of evidence types (File/Note).
Clean exercise PDF generated when a learner submits an exercise
When a learner submits a Marking Aid exercise, they and their tutor can now access a PDF containing only their questions and answers as evidence, without feedback or rubrics.
This change updates the previously submitted version with a clean PDF, automatically updating the evidence link with each new attempt to ensure only the latest submission is available.
Updated Evidence Summary behaviour for marking aid exercises
When a tutor uses the marking aid feature in Console to export evidence to a learner’s portfolio, they can now select the clean (unmarked) and marked (with feedback) versions of a marking aid exercise attempt PDF.
This change introduces an option to include marked feedback files in the export, supporting compliance with varying qualifications. The option is usable only for marking aid exercises as it relates to their marked feedback.
It may impact evidence export workflows; however, this has been mitigated by providing the user with a ‘Select All’ marked feedback in the new evidence grid column header.
When marking aid is disabled but there are marking aid exercises present, the “Include inline feedback versions” column remains hidden; however, users are still able to export all marking aid assessment reports.
Migration of historical marking aid exercise PDFs
To support the new Marking Aid evidence structure where each learning plan component supports a maximum of one exercise (ExternalAssignment) evidence item, we’ve migrated historical marking aid exercise evidence to ensure it remains consistent and displays correctly.
As part of this migration:
- Where multiple exercise attempts existed, only the latest attempt remains as the ExternalAssignment evidence item.
- Older attempts are retained as Document evidence items, so they remain accessible and exportable.
- Marked feedback PDFs continue to display in the Assessment Reports section.
- Logged hours are unchanged, ensuring no loss or duplication and no impact to reporting.
- Only the latest attempt is available as the clean (unmarked) exercise PDF, and this will continue to be updated on future resubmissions.
Updated admin screen
When admins are using the marking aid admin screen, the grid now accurately shows which component each exercise is linked to, whether at programme level, learning plan level, or not at all. This allows admins to view and manage exercise links more efficiently, with improved data clarity and performance. Exercises with no current links display a blank component name field.

Actions in reviews

When a tutor, learner or employer uses the review actions section to view completed reviews, they can now see a message clarifying that actions may update dynamically for reviews completed before February 2026. "The actions in this review may update based on changes made in later reviews. Reviews completed after February 2026 will display the actions section as it appeared at the time of completion." message is shown in the Actions section. This change improves transparency by informing users that the actions section for earlier reviews may not reflect the state at the time of completion, aligning expectations with the new snapshot functionality.
It may impact how users interpret historical review actions, and users may need to reference the displayed message for context when reviewing past records.
- When a user uses the review to audit completed reviews, they can now view a snapshot of the actions section as it was at the time the review was completed. This change ensures that ‘completed’ and ‘awaiting signature’ reviews display a historical record of actions, rather than updating dynamically, which improves audit accuracy and transparency. It may impact how past reviews are referenced, and users should note that reviews completed before this update will continue to update actions dynamically, while re-opened reviews will show current actions and update the snapshot upon re-completion.

Aptem Community is Aptem’s in-product and online engagement space, designed to support customers and give them a clear voice in shaping their experience. It’s accessible directly from the left-hand navigation within Aptem and provides a central place to find help, stay informed, and share feedback.
Through Aptem Community, customers can access guidance and resources when they need them, and take part in an open, structured feedback process that ensures their ideas and priorities are heard. Aptem Community includes:
- In-app help and guidance.
- Quick-start and how-to resources to support onboarding and everyday use.
- Updates and announcements, including helpful in-app prompts and communications.
- Feature Feedback, enabling customers to:
- Submit feedback and suggestions.
- Vote to indicate priority and demand.
- Comment to add context and real-world use cases.
- View what’s being considered, in progress, and completed.
The feature is enabled by default and can be disabled using tenant-level settings. For more information, see: Aptem Community – Aptem Help Centre.
Compliance documents
Updated the Training Plan V2.1 to show the full duration calculation
Now, when generating a Training Plan v2.1, the system will use the later of the ILR-derived planned end date or the Programme Planned End Date to determine the “Estimated end date of practical period.” This ensures your documents always reflect the most compliant and accurate programme timelines.
The “Duration of practical period” is now calculated using the later of the two dates, so you get a true reflection of the programme’s length.
The Training Plan v2.1 now displays the ILR planned end date as a separate, clearly labelled field — giving you full visibility of both the ILR and programme values.
All these changes are reflected in the generated Training Plan PDF, ensuring your documentation is always up to date and accurate.
Reporting
Quality Dashboard – QAR Headline Summary Table Updated for In-Learning Learners
When an admin uses the Quality Dashboard to review high-level performance on the QAR Headline page, they can now see clearer summary results for learners who are currently in learning.
This change updates the summary table so that the “MAX” QAR, Retention, and Pass Rate are shown as 100% when all relevant learners are still in learning, providing a more accurate and intuitive representation of performance at that point in time.
It may affect headline percentages displayed in the summary table, and users may notice changes when comparing current views with previously exported or historical results.
Quality Dashboard – Fix Applied to Withdrawn Transfers in QAR Reports
When an admin uses the Quality Dashboard to review QAR performance, they can now rely on the correct treatment of learners withdrawn with reason code 40 (Transfer to another aim) across all QAR reports.
This change fixes an issue where learners withdrawn on reason code 40 were incorrectly included in QAR calculations when the “start within 120 days” condition was not being evaluated correctly. The fix has been applied consistently across the QAR Headline, Age & Ethnicity, Gender & Disability, and Functional Skills pages. A new column containing the reason for withdrawal has been added to the QAR Headline Learner Aims table.
It may impact QAR headline metrics, achievement, and retention figures on these pages, and users may notice changes where transferred learners were previously included but should now be excluded.
Quality Dashboard – Group User Filter Added Across QAR, Accountability and Destinations
When an admin uses the Quality Dashboard to analyse QAR, Accountability and Destinations data by organisational structure, they can now apply the Group user filter across the following page.
- ILR Destinations
- QAR Headline
- QAR Gender & Disability
- QAR Age & Ethnicity
- QAR Functional Skills
- Accountability
This change introduces consistent group-based filtering throughout the Quality Dashboard, enabling flexible and detailed analysis across different organisational structures. The Summary Table by Apprenticeship has also been updated to only show those apprenticeships that have learners.
It may impact how data is grouped and displayed across pages, and users may wish to review the grouping order and selections to ensure the results reflect their intended view.
Quality Dashboard – Delivery Summaries with Dynamic Grouping
When an admin uses the Quality Dashboard to analyse delivery details, they can now use a new page Delivery Summaries which can dynamically group the data using Table grouping user filter. Options available are Qualification, Age range, Disability, Ethnicity and Gender, Qualification has been set as the default. Learner info is also included no matter which grouping is selected.
This change allows users to select one or more group levels, apply multi-level groupings, and control the grouping order through their selections. This provides greater flexibility when analysing performance across different organisational hierarchies. By default
In a future release, the Delivery Table, Delivery Table (Ethnicity), and Delivery by Qualification pages will be removed, as Delivery Summaries provides equivalent functionality and a more flexible way to view the same data. Users are encouraged to familiarise themselves with the new page ahead of this change.
Other updates
- Communications Connector with Teams: Tutors can now create Teams subscriptions using email addresses that contain apostrophes, enabling successful meeting scheduling via the Teams connector.
- CV builder: When a participant uses the CV builder in Console to manage personal details, they can now choose whether to display their address on their CV using a checkbox option. This change introduces an address visibility toggle, defaulting to visible. It aligns with privacy needs and mirrors the existing “display your title” functionality. Please note this change is only in the CV builder in Console. The Classic CV builder remains unchanged.
- EPA: When a tutor uses OData to monitor learner progress, they can now view the EPA “EPALearnerMain_OverallResult” alongside other EPA fields. This change enables comprehensive reporting of End-Point Assessment outcomes directly in OData, supporting more effective learner result tracking. It may impact reporting workflows, and users may need to update their reports or queries to include the new “Overall Result” field.
- Calendar Scheduling: When a tutor uses the review scheduling form to set review or completion dates, they can now select only valid dates using the new date picker component. This change updates both the create/edit review form and the learning plan review properties to prevent invalid date selection, improving scheduling accuracy and user experience.
Fixes

When a tutor uses the Microsoft Teams integration to reschedule a review meeting for a learner, the Outlook and Teams calendars invite now updates to the correct new date and time after the first reschedule.
This change resolves an issue where the calendar invite previously remained at the original date unless rescheduled a second time, ensuring meeting times are accurately reflected and reducing the risk of missed appointments. It may impact review scheduling workflows, and users may need to verify that calendar invites update as expected after rescheduling.
- When an admin/tutor uses the Checkpoint Assessments & Results area to load the programmes report for large tenants, they can now access the report without timeout errors.

Marking aid improvements
Changes to edit exercise flow
When an Admin uses the Marking Aid UI to manage exercise content, they can now edit exercises exclusively from the Marking Aid admin screen.
Based on customer feedback, we are removing the ability to edit exercise content from Programme Builder and Learner’s learning plan components, thus streamlining the editing process and reducing maintenance overhead.
This may impact existing workflows for content editing. In future, users will need to access the Marking Aid admin screen for all future exercise amendments. To edit the content of an exercise, users must have ‘manage programmes’ role and the ‘manage marking aid exercises’ role.
Review summarisation
Auto-generation of actions after a review.
This AI-powered feature will expand the summarisation tool to also automatically generate and populate trackable goals and actions for learners based on the discussion during a progress review.
