Reviews - Configuring Editability and Visibility

Individual review types and sections can be made visible or editable by the learner or employer at the programme level. Review types are always editable by a tutor with appropriate permissions.

Setting visibility and editability for review types

In order to make an individual review type visible to learners or employers, go to the review token in the programme builder and choose “visible to” for the employer and/or the participant (learner):

In order to allow employers or learners to edit the review, tick the appropriate user in the “Notify when available for editing” box. You can also specify the number of days prior to the review date that you want the learner or employer to be able to edit the review.

You can then configure the visibility and editability for individual sections (see below).

Where the review type is not visible to the learner or employer, they will not see the review:

  • In the “planned” reviews grid
  • In the “finished” reviews grid
  • In the learning plan (relevant to learners only)
  • In their tasks (relevant to learners only)
  • On the Dashboard in the “Upcoming Reviews” widget
  • In the review documents section

 

Note - Reviews are always visible to tutors who have visibility of that learner, so tutors with OData capabilities will be able to see all reviews related to that learner via OData. Employers and learners will not have visibility of OData. 

Setting editability and visibility for review sections

If the review is visible and editable to an employer or participant (learner), by default every section will be visible but not editable to the employer or participant. This can then be configured for each section:

If the review is not visible to the employer or participant (learner), you will not be able to allow them to edit or view an individual section. In the below example, the review is not visible to the employer:

You can change the toggle against each section to change the visibility or editability or each section.

Section visibility

Where a review section is not visible to an employer or participant (learner). they will only see sections that are visible to them upon opening the review. They will not see the “not visible” sections:

  • In the review form of any status (in progress/completed)

However, they will see the “not visible” sections:

  • In the review PDF in review documents

This is because learners and employers sign the PDF, so we must show all sections in order for them to sign a true reflection of the document.

Note - If you want something to be completely invisible to either learner or employer, please consider using a separate review. 

Section editability

Where a review section is editable by an employer or participant, the relevant user can:

  • Start the review (within the time frame specified at review type level)
  • Continue the review (if started by someone else)
  • Edit the sections which are set as “can edit” for that review type
    • Note - If you make a section editable by both employer and learner, the user can edit any information in that section, including text written by another user.  We recommend that individual sections are only editable by one user - i.e. create a 'learner' section which is distinct from the 'employer' section. This allows customers to ensure that reviews are an accurate reflection of each user's experience and feedback. 
  • The tutor can edit every section of a review.
