Overview
The Users Overview page contains several expandable sections grouped by functional area. This article describes the page as visible to a standard administrator. For more information, see Standard administrator – detailed description.
The page is divided into the following sections:
- Overview
- Activity summary (last 30 days)
- Programmes
- Reviews
- Course progress
- Access codes
- Competencies
- Placements and workshops
All sections can be filtered by Aptem group using the selector at the top right of the page.
Overview section
This section shows the number of learners in different subscription statuses and provides options to send group messages and create tasks in bulk.
Learner details
- Number of active users – learners who have activated their account and whose account has not expired. Includes subscription statuses: Full User, Cancelled, and Archived.
- Number of users invited – learners with a subscription status of Invited.
- Number of expired users – learners with a subscription status of Expired.
Additional actions
- Account activation report – link to the Account activation report page (Activations tile).
- Users report – link to the Users grid filtered by Type = User and the selected group or groups.
- Send group message – available only if the Collaboration Centre token is enabled in the account programme. Opens a wizard to send a message to multiple learners within the selected group.
- Add task to users – opens a wizard to create a task for multiple learners within the selected group.
Activity summary (last 30 days) section
This section shows learner login and Job Finder activity statistics for the last 30 days.
- Number of users who have signed in – total learners who logged in to Aptem at least once in the last 30 days.
- Number of users who have clicked on job links – available only if the Jobs token is enabled. Total learners who followed at least one job link from Job Finder in the last 30 days.
- Number of users who have made job applications – available only if the Jobs token is enabled. Total learners who have at least one task of the Job Application type created in the last 30 days.
Additional actions:
- Weekly usage report – available only if the Courses token is enabled and the standard administrator's subscription duration is more than 12 months. Subscribe or unsubscribe from the weekly usage report.
- Feature usage report – link to the Usage report page (Users usage tile) filtered by selected group or groups.
- Suggested jobs report – available only if the Jobs token is enabled. Download the suggested jobs CSV report.
- Activity report – link to the Activity report page (Users time tile).
Programmes section
This section lists all programmes the logged-in administrator has access to, including archived programmes, along with the number of learners enrolled on each. Programmes are ordered by type: account programme, delivery programme or programmes, onboarding programme or programmes, and sub-programmes.
Each programme entry shows:
- Number of account's users – total learners currently enrolled on the programme across the whole tenant.
- Number of group's users – total learners currently enrolled on the programme within the selected Aptem group.
Review section
This section shows statistics on review type usage across the selected Aptem groups. You can also export a summary of learner data recorded during reviews by selecting Export data to download the Review_Export CSV report.
The section displays a two-column table:
- Review type – the review type name as configured at programme level. Only review types that have been conducted for learners in the selected group are shown.
- Number of times performed – total number of reviews of that type started for learners in the selected group.
Course progress section
Note: Visible only if the Courses token is enabled in the account programme.
This section shows legacy course usage statistics across all learners in the selected Aptem group, with the option to drill down into a detailed report per course via the Progress chart link.
The Enrol users option opens the Enrol to course wizard, which can be used to enrol multiple learners on legacy courses in bulk. The course list is sorted alphabetically.
Columns:
- Course name – the name of the course instance created in Course Builder.
- Count of active users currently in progress – total learners with the course in progress. Courses with zero active learners are not shown.

Progress chart – link to a detailed report for the selected course, showing learners' completion status, progress percentage, number of exercises awaiting tutor attention, current asset, current module, and time spent.
Access codes section
This section shows access code usage statistics for the selected Aptem group. Select the Access codes report link to navigate to the Access codes page (Access codes tile) for more detailed information.
- Number of available access codes – total generated access codes that have not yet been used within the selected group.
- Number of activated codes – total access codes already used for self-registered learner account activations.
Competencies section
Note: Visible only if the Competencies token is enabled in the account programme.
This section shows competency usage statistics across all learners in the selected Aptem group.
- Competence name – the competency name as configured in the Competency Editor. Competencies with no statistics are not shown.

Enrolled / achieved users count:
- Enrolled users count – total learners who currently have the competency assigned.
- Achieved users count – total learners who have the competency assigned and have completed all of its characteristics.
Each competency has an option to drill down into a detailed report showing progress per characteristic.
Placements and workshops section
This section shows placement and workshop allocation statistics for the selected Aptem group.

Number on placement/workshop / unallocated – available only if the Use unallocated users report option is enabled in the Placements/Workshops token in the account programme.
- Number on placement/workshop – total active learners (Full User subscription status) within the selected group who have placement or workshop enrolments with a status of Enrolled, Finished, or Lapsed, where the start date is in the past and the end date is in the future.
- Number unallocated – total active learners (Full User subscription status) within the selected group who are not counted in the on-placement figure, or who have a job enrolment with a status of Enrolled.
- The Unallocated users link navigates to the Unallocated users report page (Unallocated users tile).

Number with unverified hours – total learners who have at least one placement or workshop enrolment with hours pending verification.
- The Unverified hours link navigates to the Placements/Workshops unverified hours report page (Unverified hours tile).
