Create an Employer user (Classic)

Administrators with the Create Users permission can use the Users tile to create employer accounts.

Creating an employer account

  1. Sign in to your administrator account.
  2. Select the Users tile from the navigation panel.

  3. On the Users list page, select Create to open the dropdown. Select Employer, then select Yes to confirm.

  4. Choose whether to invite the employer to Aptem:
    • Select Yes to send the employer an activation email. The email (subject: "Aptem Account Activation") contains a link to the Activate Account page, where the employer sets their password and can update their username.
    • Select No to create the account with a Prospect status. The employer cannot log in until they are invited later. To send an invitation at a later date, navigate to the employer's profile from the Users tile and select Send Invitation.
  5. Complete the fields described below, then select Create to save the account. Select Close to exit without saving.

Employer account fields

Personal details

Title, first name, surname, email, and mobile number are mandatory. Gender is optional. Where MFV (multi-factor verification) is enabled for your tenant, the mobile number field is mandatory when creating or editing any user, including via CSV upload or API.

Address

Postcode and address fields are optional and can be completed or updated later.

Employer group

Mandatory. Select the checkbox(es) next to the group or groups the employer should be assigned to. Use the Search field to find a specific group. Select Show selected records only to display only currently selected items.

Roles

Select the role or roles the employer will fulfil from the Available list and move them to the Assigned list using the right-pointing arrow buttons. To remove a role, select it from the Assigned list and move it back using the left-pointing arrows.

Positions

Optional. Select a position from the dropdown, or type a new position title and select Add to create it. New positions are available to all employers and administrators.

Interface access

Select the interface or interfaces the employer can log into. At least one option must be selected. Contact your Aptem administrator if you are unsure which options apply to your tenant.

Sending an invitation after account creation

If you selected No when prompted to invite the employer, you can send the invitation later from their profile.

  1. From the Users tile, search for the employer by name or email address and select their name to open their profile.

  2. Review and update the employer's details before sending the invitation.
  3. Select Send Invitation. A confirmation message appears when the email has been sent successfully.

Creating an employer while creating a learner

When creating a learner account, you can add a new employer at the same time. Select the green + button next to the employer field to open the Add Employer dialog.

The following fields are available in the Add Employer dialog:

  • Employer: select from the dropdown. If the employer is not listed, select the green + to add a new one.
  • Employer address: populated automatically if the employer is selected from the dropdown.
  • Manager: select from the dropdown.
  • Mentor: select from the dropdown.
  • Interface access: select which interface the employer can log into. Contact your Aptem administrator if you are unsure which options apply.

  • Main Aim Registration Number: enter if applicable.
