Can you enrol learners on to a sub-programme in bulk?
You are unable to enrol learners on to a sub-programme in bulk, this will need to be actioned for each learner individually by editing the programme via the Programme details page or Learner Profile page and clicking on the 'Add Sub-programme' option.
Why are sub-programmes disappearing from a learner's account?
This issue may occur when updating learner data using the UpdateUser API method.
In the current implementation of the UpdateUser API method, sub-programmes will become detached if the below programme-related fields are updated or passed in the API call:
- "programmeId"
- "programmeStartDate"
- "programmeEndDate"
The solution to address this concern is either to manually reattach the sub-programmes through the interface or to avoid using the UpdateUser API method for making changes to programme fields for learners already associated with sub- programmes.
Can I change a sub-programme to be a Delivery Programme?
No, it is not possible to change a sub-programme into a delivery programme.
If you need to establish a delivery programme, you will have to create a new programme specifically designed for this purpose.
Why are components from a previous sub-programme appearing in a learning plan?
When a sub-programme is removed:
- The system will remove all sub-programme components in a "Not Started" status that do not have any evidence uploaded/attached to them.
- The system will also remove all sub-programme components in an "Evidence Required" status that do not have any evidence uploaded/attached to them.
In any other circumstances, the components from the removed sub-programme will not be removed from the learning plan.
Is there a way to take learners off a sub-programme set?
In order to remove a sub-programme, you will need to go to the Learner's profile and select the edit pencil icon for the programme which they are on.
The sub-programmes will then be displayed and an option to delete each sub-programme will be available here.
Is there a way to re-assign the tutor to a subprogramme for multiple learners within Aptem?
No, it is not possible in the Aptem UI to bulk‑change the tutor (sub‑programme owner) for multiple learners at once.
Why am I unable to select a sub-programme when editing a user’s programme details?
Please ensure that the group the learner is in has access to the sub-programme. Edit the Group and add the sub-programme to the available groups. You may have to add this to the parent group that this one is associated with first. Use the same process to add the sub-programme to the parent group and then repeat the process for the learner’s group:
Is it possible to update the sub-programme owner when changing the case owner?
Yes. There are two ways to do this:
Option 1 - During the case owner update
When you change a learner's case owner in Console, you will be prompted if sub-programme components are associated with that learner. At this point, you can choose to assign those sub-programmes to the new case owner as well.

Option 2 - Via Programme Details
You can also update the sub-programme owner from the Programme Details tab in the learner's profile in Console. Edit the Assign to field for the relevant sub-programme.
