Which email address does Aptem use to send invitation emails?

Aptem invitation emails will be sent from the following email address - email@aptem.co.uk 

 

When should admins and employers receive Aptem notifications via email?

Aptem will send email notifications to Admins and Employers only for personal messages.

System notifications, such as when an Admin/Employer is needed to sign a document or review, or when an Admin has been assigned a tracker, will not trigger email notifications.

Please note that Employers will receive an email notification to sign compliance documents only if the "Sign and invite employer" Compliance Mass Processing's option is used.

 

Can a user register with an email address already used with another training provider?

Yes, they will be able to register due to your platform (tenant) storing this information separately from other training providers. This ensures that the email address is unique within each providers platform. 

 

Does Aptem send emails to accounts with the ‘Cancelled’ status?

No, once an Aptem account has been set to the ‘Cancelled’ status, Aptem will no longer send any emails to the registered email address.

 

Where overdue notifications are enabled for a tenant, are they classed as "Essential Emails"?

Learners will receive "unread message alerts" via email, which can contain, but are not limited to, overdue tasks notifications in the Collaboration/Messaging Centre.

These messages are set to 'Essential', and learners who have "Essential Emails Only" or "All emails" specified for their accounts, will receive these emails.

 

Does the Aptem registration email or the password reset email expire after a period of time?

 While the Aptem registration email link does not expire, the password reset link will expire after 2 hours.

 

I am no longer receiving emails advising me of unread messages in my Aptem Collaboration Centre, why is this?

This may be due to the frequency of email notifications settings set by your organisation. This setting can be amended by a member of the Support Team on request. 

The frequency of email notifications can be set to weekly, daily or never. Please note, these emails are only sent if the user has not visited the Collaboration centre for a period of time. 

For example, if your email notifications are set to weekly, and you visit the collaboration centre for new messages more often than once a week, you will not receive an email notifying you of unread collaboration centre messages. 

 Please contact the Support Team if you would like to amend the frequency of your email/overdue notifications.

 

Why are users getting email messages when I have set them up at the programme level to not receive them?

The email notification settings can be set on a programme level and at a user level. Before sending an email the system checks only the user-level settings.

Every time a learner gets enrolled (or re-enrolled as a result of a programme modification) on a programme, their personal settings get overridden with the setting from their programme.

Administrators, employers and referrers inherit this setting from the account programme, and their personal settings get overridden every time the account programme is modified.

All users can change their personal email settings.  To do this, they need to click on their Name or Initials in the top-right corner of the screen and choose “Settings”. Under Account Settings, they can use the Notifications menu item and set their email notification preferences.

These settings do not impact "system" notifications, such as invitation, activation, forgotten password emails etc.
