Administrator Management: Troubleshooting guide

Why am I unable to edit an Administrator profile?

You need to have the “Supervisor” permission allocated to your account to be able to edit Administrator profiles.

Please contact your Aptem Superuser (previously called Aptem Champion) and they will be able to add this for you.

Can you have both the Assessor and Internal Verifier role assigned on the same user account, and if so, how do you swap between them?

It is possible to have both the Assessor and Internal Verifier roles on the same account.

You can change between the roles on a component that has evidence submitted by selecting the ‘actions’ dropdown.

My roles have been updated, but they don’t seem to be taking effect, why is this?

When new roles are updated, it may take up to an hour for the changes to be applied on the system. If the roles have still not taken effect after an hour, please contact the support team to investigate.

Why don't Aptem admin accounts include the word 'Test' in their names?

It is important to note that the accounts created when Aptem Admins access the tenant are automated and not manually initiated through the 'Create' user function on the Users Tile. Conversely, when accounts are manually created using the 'Create' button, we typically append "Test" to the username.

Please be informed that Aptem Admin accounts can be distinguished by their email addresses, which typically belong to one of the following domains:

  • @myworksearch.co.uk
  • @mwstechnology.com
  • @aptem.co.uk

In adherence to our process, the inclusion of "Test" in usernames only occurs when users are manually created through the 'Create' user function on the Users Tile. However, accounts generated automatically when Aptem Admins access the Tenants do not incorporate the "Test" designation in their usernames.

I am an administrator; why can I not see some Employer logins?

This is because your administrator account does not have access to the groups that the employers are attached to.

Please ask your Aptem Superuser (previously called Aptem Champion) to edit your access rights to include the relevant groups if you wish to view or edit the employer logins.

What roles/permissions will not allow an administrator to edit user details in the Classic interface?

The default behaviour of all ‘Admin' user types is to allow the Admin to edit the details in Aptem Classic even without the ‘Edit learner details’ permission.

However, if you assign the Tutor Console permissions only, the system will not allow the user to edit learner details in Aptem Classic.

Which account permission is required in order to reschedule a review?

The Manage Calendars permission is required to reschedule and amend Calendar Tasks and Appointments. This permission will also allow you to reschedule Reviews for Learners that are not part of your Caseload.

Following the January 2023 Product Update, It is now possible to reschedule an 'In progress' Review - one that has already been started. To do this, administrators with the 'Advanced Delivery Management (Edit)' and / or 'Supervisor' permissions can edit the Review from the Reviews grid 'Planned' tab, or use the Scheduling Assistant on the Reviews grid, or the new scheduling user interface (UI). A reason for rescheduling can also be entered.
