Overview
“Supervisor” is an additional and optional role which can be assigned to client administrators.
The following article lists the options that become available when the Supervisor role is assigned in addition to the Standard administrator role. The list of options available for someone with only the Standard administrator role is covered in a separate article: Standard administrator - detailed description.
The list of things a Supervisor can do are grouped as follows:
Classic
The Supervisor can:
- Edit their own account details (including roles)
- Manage other administrators:
- View other admins from the ‘Users’ grid.
- View the 'edit admin details' link displayed in the Administrator profile > Contact details section and edit the admin details.
- Create a new administrator while importing/updating learners via CSV using the caseOwner column.
- Cancel/activate [i.e. unsubscribe/re-subscribe] other administrators from the Administrator profile screen.
- View the 'Administrators overview' tile, and navigate to the Administrator group profile screen.
- View the 'Administrator usage' tile.
- View the 'Administrator Group Profile' screen when they click the group name from "Group" column in Access Codes grid.
- View/Use quick links to the Advisor profile:
- From Signatures grid - using the hyperlinks under the Case owner, Employer signature, Admin signature columns.
- From User profile > Contacts section – using the hyperlink under Name column
- From Organisation profile > Employer Logins section – using the hyperlink for Employer-login's name in Name column.
- From Organisation profile > Referrer Logins section – using the hyperlink for Referrer-login's name in Name column.
- From Organisation profile ('Your Organisation' type) > Contacts section – using the hyperlink under Name column in screen in case of contact is an administrator.
- View/Use the quick ‘edit’ option to edit other administrators:
- From the User profile > Contacts section - using the 'edit' pencil button and edit contacts in case the contact is an administrator.
- From the Organisation profile ('Your Organisation' type) > Contacts section - using the 'edit' pencil button in case the contact is an administrator.
- View the 'Activity summary (last 30 days)' section on the Advisor profile screen in cases where the Jobs token is disabled on the account programme.
- Within ‘usage report’:
- View the 'usage report' link in the 'Activity summary (last 30 days)' section of the Advisor profile screen, and can navigate to the administrator report screen. ~/MWS.Logging/AdministratorReport?UserID={AdvisorId}.
- Access the ‘usage report’ screen from the Advisor profile > 'Activity summary (last 30 days)' section > 'usage report' link.
- Access the ‘usage report’ screen from the Administrator group profile > 'Activity summary (last 30 days)' section > 'usage report' link.
- Manage Groups and group allocation:
- Access the 'Groups' tile and create/edit/delete both Aptem groups and Employer groups from the Groups grid.
- Perform mass group reallocation upon a list of learners via the 'reassign on group' option in the Overview section after navigating to the 'Users overview' tile.
- View 'groups report' link in the Overview section of the Users group profile screen - the link will lead to the Groups grid.
- Manage Archived accounts:
- Archive/Un-archive users.
- View the "Archived" option in the 'Status' filter dropdown wherever a list of users is displayed.
- Create new categories for:
- Organisations
- Placements/Workshops
- Within Reviews: can view the 'Delete' column/action button in the reviews section of the user profile.
- Within Progress Report: view Alerts section below Progress report filters area.
- Within Placement enrolments: view the 'Unverify' button on the placement enrolment where there are already verified hours in the following areas:
- Placement profile > Users/Candidates section
- User profile > Managed jobs and placements/workshops section
- Within trackers: view the links to Advisor/User profile for <Admin/LearnerName> in the Edit Tracker > History section.
- Within Compliance documents: raise a tracker for a compliance group and update compliance status to ‘Rejected’.
- View 'weekly usage report' link on the Users Group Profile > Activity summary screen.
Supervisor plus additional roles
The Supervisor can:
- View the QAR tile, if they have the ManageILR / ILR QA role.
- Set up criteria weights from Criteria tree view in the Programme builder > Learning Plan token, if they have the Manage Programmes role.
Note
While creating / editing a new administrator, if the Supervisor role is selected as 'Assigned', then the 'Allow access to Aptem classic' field is automatically checked, and cannot be edited.
Console
- Edit reviews from both the 'Planned' and 'Finished' tabs.
- Delete reviews:
- from the ‘Planned’ tab in case of a review that has no associated component (i.e. created in a standalone mode) OR in case of a review associated with an onboarding programme type.
- from the ‘Finished’ tab.
- View the 'Scheduling Assistant' field in the Review row on the Learner Profile > Reviews grid > Planned screen on the mobile view.
- Amend the 'Is This a Mandatory Activity?' property on the ‘Edit Activity’ screen in the following cases:
- 'Allow mandatory activities' = No AND the component is marked as Mandatory.
- ''Allow mandatory activities' = Yes.
- Edit the Mandation section, and set the 'Allow mandatory activities' and 'Sanction status' options.
- View the 'Ready for QA' option in the Quick Filters dropdown on the Learning Plan.
- View the learning plan component audit trail.
- View the 'Unplanned QA' option in Filter by dropdown on the learners grid.
- View the 'Actions' column in place of the 'Edit' column on the Learning Plan > Component Details > Evidence grid.
- View/Use the 'Complete Component' button from the component details section for components that are ready to be completed, and are set to 'Tutor decides'.
- View the 'Audit History' tab on the learner profile screen, and access the ‘Audit History’ screen.
- Edit Milestones from the Tutor Console.
- View the ‘Not Created’ tab on the Signatures (Compliance) grid and create compliance documents.
- View the 'Ready for QA' card and drilldown on the dashboard.
- View the 'Unplanned QA' card on the dashboard.
- View the 'Quality Assurance' widget on the dashboard.
Supervisor plus additional roles
The Supervisor can:
- Access/Use the Integrations > Calendars screen in order to configure Calendar Integration settings on the tenant, if they have the Manage tenant settings role.
- Access/Use the Integrations > End-Point Assessment screen to configure EPA settings on the tenant, if they have the Manage tenant settings role.
- View the PRaP Version History (Learner Profile > PRaP Details tab, if they have the WorkCoach role.
- View 'PRaP Import Review Required' cards in both Caseload Dashboard and Learner Dashboard in Tutor console, if they have the CreateUsers role.
Both Classic and Console
The Supervisor can:
- Synchronise components from individual learning plans, between those learners that they have access to.
- Use the ‘Synchronise components’ wizard to:
- Add new components
- Edit components
- Delete components
- Edit/Delete finished components
- Mark destination component as Planned for QA
- Verify compliance group on the User profile > Compliance documents section and the Learner Profile > Documents > Compliance Documents folder in case of Available or Signed statuses.
- Upload a file to the User profile > Compliance documents section and the Learner Profile > Documents > Compliance Documents folder. The compliance status of the uploaded file is set to ‘Verified’.
- Delete manually uploaded files from compliance documents groups of any compliance status.
- Edit or delete any notes from the learner profile, including those authored by other administrators.
Supervisor plus additional roles
The Supervisor can:
- View/Use the ‘Continue component’ option for components that are set to 'Tutor decides', if they have the EditDeleteFinishedComponents role.
OData
The Supervisor can:
- View all chats between users they have access to.
