Overview
Administrators have access to the profile page of their own account – which allows them to validate personal details accuracy, manage their eSignature sample, and check activity summary.
This article describes this tile as visible to a standard administrator. For more information, see: Standard administrator - detailed description.
My profile page
The administrator can navigate to “My profile” page from top right corner of Classic interface, hovering over their own name and selecting “My profile” option:
The 'My profile' page consists of three sections:
Activity summary (last 30 days)
Contact details
The “Contact details” section contains the administrator’s personal details and eSignature sample.

A Standard Administrator cannot update Positions, email address, phone number themselves – please ask administrator having the relevant roles to update these details if needed.
A Standard Administrator can create/update their eSignature sample from Administrator profile page – if either “Review” or “Compliance documents” token is enabled in account programme.

To create/update eSignature sample please use “Create” option from the right area of “Contact details” section. Signature pad will pop up then where the administrator can draw their eSignature sample:
If eSignature sample has no mandate uploaded yet, “(no mandate)” marker will be displayed next to “Signature” label:
Note: eSignature with no mandate provided can still be used at Aptem platform for signing documents – and this will no way impact contents of signed compliance/review documents; we only recommend providing mandates for compliance matters.
To download eSiganture mandate template, click on ‘prepare mandate’ – “E-signature Declaration” PDF file is to be printed out with the administrator’s eSignature sample in it, signed manually and scanned back.
To attach scanned eSignature mandate file, click on “upload signed mandate”.

Activity summary (last 30 days)
The “Activity summary (last 30 days)” section represents the administrator's activity metrics during past 30 days. These are metrics on application usage, help Jobseekers with finding a job, enrolling Learner onto Old courses.

“View activity list” link navigates the administrator to Site Activity page which displays actions logged against account (such as logging in, creating/updating tasks, etc.).
Section details:
- Date last logged in: The latest date that the administrator logged into Aptem
- Number of logins: The total count of logins that the logged-in administrator performed during last 30 days.
- Date last job suggested: The date on which the administrator most recently suggested a job to a Jobseeker from JobFinder (during last 30 days).
- Number of jobs suggested Total count of jobs suggestions made during last 30 days; example: 2 jobs suggested to 3 learners is counted as 2*3=6 suggestions in total.
- Date last user enrolled: This is only displayed if the “Courses” token is enabled in the account programme. This is the most recent date on which the administrator enrolled a learner onto an Old Course; only the last 30 days are considered.
- Number of users enrolled: This is only displayed if the “Courses” token is enabled in the account programme. This is the total count of learner enrolments on Old Courses performed by the administrator during the last 30 days.
- Date last results approved: This is only displayed if the “Courses” token is enabled in the account programme. This is the most recent date on which the administrator approved an Old Course asset completed by Learner (i.e. asset is marked as Achieved/Overall=Yes from Asset Assessment form (Outstanding Approvals page, “Course assessment” tile)); only the last 30 days are considered.
- Number of results approved: This is only displayed if the “Courses” token is enabled in the account programme. This is the total count of Old Courses Assets approvals made by the administrator during the last 30 days.
- Number of results approved: This is only displayed if the “Courses” token is enabled in the account programme. This is the total number of Tasks created during the last 30 days by the administrator.
Subscription details
This section represents the subscription details of the logged-in administrator, including Aptem Groups assignment information.

Section details:
- Subscription start date: The date on which the logged-in administrator activated their Aptem account.
- Subscription end date: The date calculated as Subscription start date plus Subscription period (months).
- Subscription status: The logged in administrator’s current subscription status. In case the subscription is set to get expired within 14 days, a red-coloured label is displayed next to Subscription status. The label also indicates the number of days left for the subscription to expire.
- Groups visible to administrator: Expanded hierarchy of all Aptem Groups that the logged-in administrator has access to.
