After PRaP (Provider Referrals and Payments system) import, the system creates a new version in cases where existing PRaP 'version' already exists for a particular participant. Administrators with the Supervisor, Compliance QA or Ability to set PRaP version permission can view the PRaP version history, retain an existing version, or apply a new version.
When you click the “View PRaP version History” on the PRaP Details tab on the Participant Profile, you can see the 'PRaP Version History' screen.
Viewing PRaP Versions
The 'PRaP Version History' screen has a menu on the left - this menu shows the various versions available in the system.
To view a particular version, click on it from the left menu. You can view the details of the version, as well as any notes/history associated with that version.
On the Details tab, you will see the participant details across different sections:
- Personal information
- Contact information
- Referral details
- Additional details
Notes and History
The ‘Notes’ and ‘History’ tabs provide additional clarity when selecting from multiple PRaP file versions.
Using the Notes tab, administrators/tutors can record notes against each PRaP 'version’, They can also edit or delete the existing notes.
The History tab shows the 'Audit History' with the following details:
- Date and Time of change
- 'Version applied by' – Name of the administrator
Apply a version
While viewing the different PRaP versions, you can select the PRaP version to apply. Click the Apply this Version button on the top right of your screen. You can also click the ellipsis icon on the menu on the left and select Apply this version.
Retain a version
To retain the current version, click the Retain this Version button on the top right of your screen. You can also click the ellipsis icon on the menu on the left and select Retain this version. The reason you need to retain the version is for it to not appear on the Requires Attention section of the Performance Dashboard.
