Message a group of learners (Aptem Classic)
Overview
When you have some administrative responsibilities for a group of learners, as a tutor, employer, or a training provider, you will inevitably need to communicate a message to an entire group instead of copying and pasting the same information in individual learner messages.

Send a group message
To send a message to a group for which you are responsible:
- Sign in to your Administrator account.
- Find and click on the Users Overview tile to show the User Group Profile page.
- The User Group Profile page shows the basic statistics of all the users, those invited or expired and those who have had success in finding a job. In the case where all the learners were already employed, the 'got a job report' may have been removed and therefore will not show.
The 'Overview' shows the send group message function as well as other functions and reports. The send group message option is available for all administrators, but only in cases where the ‘Collaboration Centre’ token has been enabled on the account programme. - You can select one or several groups (or even individual users if you have yet to create a named group with the members: clearly it is better to create the group first). To select the group(s) to which you wish to send the message:
Click on the Group dropdown list and make your selection(s) and click the Apply button. In the example, the group Cabin Staff is selected. - Use the checkboxes to the left to select or unselect learners. You can also use the Select all and Deselect all options available above the grid.
Click the Next button to continue - The selected users are shown in the list; type your message in the Message field (this is a mandatory field). Optionally, you can select any file you wish to attach to the message. The maximum file size supported is 64 Mb. Click Send to send the message.
- Click Yes to confirm and send the message.
- You then have a confirmation, click OK.
- You can check if your message is working by using the Collaboration function. Click on the Collaboration centre tile. Note that text messages and file uploads are treated as separate occurrences, so in case a tutor sends one text message and attaches 2 files to it, the learner will receive 3 messages in total, and the “Messages” counter will be increased by three unread messages.
Note If you have not used this function before, click on the How to use Collaboration link and watch the explanatory video. The collaboration view shows that your learners have received the message. Each of your learners will also receive an email.
