Integrating with Pass

Pass is a third-party Functional Skills assessment provider. Once connected, learners can complete their English and maths initial assessments through Pass as part of the Onboarding Wizard, with results and completion notifications flowing back into their learning plan automatically.

Before you start

This is an additional integration and is not part of any Aptem Apprentice package. If you want to use this functionality, contact your Customer Success Manager. See Aptem Apprentice pricing and packages for information about the packages.

You'll need the Manage Tenant Settings role to configure Pass.

Enabling Pass

  1. Navigate to Settings > Integrations.

  2. Select Pass.

  3. Use the toggle to set Enable Pass to Yes. By default, this is set to No.

  4. Enter your Pass API key in the field provided. The key is validated against Pass when you save, and is encrypted at rest and masked in the UI once saved, so you won't be able to view it again after saving.

  5. Select Save. If the connection is successful, you'll see a confirmation message. If it isn't, you'll see an error such as "Invalid API key" or "Can't connect to Pass, please try again."

Note: Digital skills assessment is not currently supported through Pass. Only English and maths initial assessments are available.

Configuring completion notifications

Aptem receives assessment completion notifications from Pass via webhook, so results appear in Aptem without manual checking.

  1. On the same Pass integration page, locate the Webhook URL and Webhook Key fields.

  2. Enter the values provided by Pass for your organisation.

  3. Select Save.

Once configured, Aptem automatically receives and processes completion notifications as learners finish their assessments.

Selecting Pass in the Onboarding Wizard

Once enabled at tenant level, Pass becomes available as a provider option for the Functional Skills step in the Onboarding Wizard.

  1. Open Programme Builder and edit the onboarding programme.

  2. Go to the Functional Skills step.

  3. Choose Pass as the provider.

  4. Select which subjects learners should be enrolled in.

When Pass is selected, completing the assigned Pass assessments becomes mandatory before a learner can progress past the Functional Skills step. Learners see clear messaging if they attempt to move on with assessments still incomplete.
