Integrating with Cognassist

Overview

Cognassist is a cognitive assessment tool that identifies whether a learner has learning support needs. Using Cognassist, your learners can complete assessments and get a match report that identifies areas requiring learning support.

The Cognassist integration allows 2-way communication between Aptem and your instance of Cognassist. The integration provides the following benefits:

  • Create a learner in Cognassist automatically from Aptem
  • Send a learner an invitation email to complete their assessment
  • Track the status of a learner's assessment progress
  • Return the results of an assessment upon completion
  • Reduce administrative work in managing two different systems

 

Prerequisites

To get started using Aptem with Cognassist we need to record some information in Aptem. This is to ensure that the two systems can talk to each other in a secure and trusted manner.

We will need the following information from you:

  • Client ID: this is a case-sensitive alphanumeric string, e.g. R55GerP36LEEq2ccE4bq.
    The Client ID can be obtained by contacting Cognassist.
  • Client Secret: this is a case-sensitive alphanumeric string, e.g. 6c31h8f2z999r6j008d35tete5gesdg6asfd556c832a141a33.
    The Client Secret can be obtained by contacting Cognassist.

 

Configuring your integration

You will need to request for support to enable the Cognassist integration on your tenant. To enable this, our support team will need the following information sent in the request:

  • Your tenant name: this is the tenant you want to enable Cognassist for
  • Client ID: this is a case-sensitive alphanumeric string
  • Client Secret: this is a case-sensitive alphanumeric string

 

Enabling Cognassist integration for learners

Once your tenancy has been successfully configured, you will be able to select which programmes can make use of the integration.

The steps to do this are as follows:

  1. Navigate to Programmes.

  2. Either create a new programme, or edit an existing programme. Choose “Edit” (the pencil icon) against the programme.

  3. Select the Cognassist token.
  4. Use the toggle to disable or enable the feature.

After you have enabled Cognassist integration, you can register learners using Aptem Classic or using the console. You can also set up learners to register for Cognassist as part of their onboarding journey.

Registering a learner with Cognassist

Cognassist needs to be enabled on the programme that the learner is enrolled onto. Where Cognassist has been enabled, you can register a learner from the User profile screen.

Cognassist also requires the email address, date of birth and postcode to be populated before you can register the learner.

Navigate to Learning Support section under the user record. If the required fields have not been completed, you will see the following message:

Where the required fields have been entered, you will be able to register the learner.

To register a learner, click Register learner, under the Learning Support section.

In some cases where Cognassist rejects some fields as invalid, you will see the following error: "The Email Address, Date of Birth or Post Code has been rejected as invalid by Cognassist. Please check, correct the data and try again."

As part of the learner registration, Aptem will provide the email address of the learner's primary tutor to Cognassist. A tutor with that email address will need to be registered with Cognassist for the registration to be successful.

If you encounter an error showing “Could not register user in Cognassist”, this could be caused by any of the following scenarios:

  • Your organisation’s Cognassist connection details are invalid or expired (this would affect all learners).
  • The learner's Primary Tutor's email is not registered in Cognassist.
  • The learner's email is already present in Cognassist's account, so it is not possible to register another learner with the same email.

 

Cognassist Registration during Onboarding

You can enable Cognassist Registration using the onboarding wizard, so that your learners will be able to register for Cognassist during their onboarding. When the onboarding step is viewed/actioned by the learner, the learner will be registered with Cognassist, if the required learner details are populated.

Tracking the assessment status

Once a learner has been registered, they get an invitation to complete their Cognassist assessment.

At this point, the status is Not completed, and the Created / Modified fields show the time when the learner was registered.

If a learner has not completed their assessment, you can click Send invitation to re-send the invitation as a reminder. Please note that Cognassist will not send a follow-up email if one has been sent in the last 3 hours.

Once a learner completes their assessment, the status will be briefly set to Awaiting results as the results are processed.

Once their results are processed, the status is updated to Completed, and the Modified field records the date and time when the results were retrieved, and the match report will be displayed.

Each of these entries below is the result that has been returned by Cognassist. The different rows are the domain areas that they were assessed on.

In the following example, some of the results read Matched, so the overall Matched field will be Yes. Where the Matched field show Yes, the learner has learning support needs.

In the following example, all of the results read Not matched, so the overall Matched field will be No.

Learner registration (Console)

Registering a learner with Cognassist

Cognassist needs to be enabled on the programme that the learner is enrolled onto. Where Cognassist has been enabled, you can register a learner from the Learner profile screen.

Cognassist also requires the email address, date of birth and postcode to be populated before you can register the learner.

Navigate to Learning Support tab on the Learner Profile screen. If the required fields have not been completed, you will see the following message:

Where the required fields have been entered, you will be able to register the learner.

To register a learner, click Register learner, under the Cognitive Assessment section.

Note

Where a learner does match as part of their assessment, Aptem cannot apply a programme level to Cognassist. As such, this is a process that must be done within Cognassist once results have been returned.
