Watch this webinar to understand how the registration and certification functionality works, how to configure it for your delivery model, and how to use it to support both operational efficiency and quality assurance.
What you'll learn
- Single record, multiple levels of detail: how the two-level structure (qualification record and assessment record) keeps your data linked and accessible, eliminating manual data consolidation.
- Flexible configuration: how to set up assessment tracking to match your delivery model, from simple EPA outcome recording through to detailed component-level tracking and gateway readiness monitoring.
- Role-based access: how to give tutors, compliance officers and MIS teams the right level of access without duplicating effort or creating data inconsistencies.
- Real-time tracking: how to monitor the full assessment journey from registration through resit cycles to certificate dispatch.
- Quality insights from assessment data: how to use component-level results to identify performance patterns, inform curriculum decisions and support self-assessment reporting.

Q&A
How does a sub programme look for our learners?
When building a sub-programme purely for registration and certification purposes, there are no learning plan components added. The learners don't see these as it doesn't impact their learning plan.
Would you suggest doing a sub programme to track EPA progress?
For example we have 1 standard where they have do tasks in their final 2 years on programme - so we want check in points to make sure they are on track and upload what they have done so far.
This would seem a useful approach to help you manage that. It would be worth discussing with your current customer service manager, or implementation consultant to confirm specific requirements.
The learner journey - qualification record – does it require manual input of outcomes?
Yes, although for groups/cohorts this could be done using the csv upload option.
How does this work for integrated degrees?
You could use this to confirm the completion of the degree element e.g. degree sign off which may help monitoring and managing progress.
Would we have to go into the learner profile to be able to see if the tutor has marked them as gateway ready? We don't get any kind of notification etc?
You could access this information from the learner profile, or from the registration and certificate screen, or alternatively using Odata. There aren't currently any notifications, however this could be suggested as an idea through the Aptem community feature portal.
Would you not be able to see this information through the API with the awarding body?
Yes, for customers using the API with Proficient (formerly epaPRO).
Can we use this function to add in a 'predicted end date' from coaches?
We used to have this function in a previous system, but we use this to track and plan QA sample and EPA planning with our EPAO.
It may be possible to use this function for that. Having a planned gateway which your tutors could note as booked may be the most straightforward option. For IQA sampling planning, it may also be useful to view the Help Centre articles on planning for QA which may provide useful alternatives.
Can you update booked dates for a group of learners?
Yes, this could be done using the CSV upload option.
