Activity log: Review and manage activities as a tutor

Overview

Activity log gives tutors:

  • A single, structured place to manage learner activity.

  • Clear visibility of engagement and progress.

  • Efficient review workflows.

  • Reliable, exportable audit records.

This guide explains how tutors can use Activity log, from reviewing submitted activities to exporting learner records for compliance.

 

Reviewing submitted activities

When activities are ready to review, a Start button appears in the Activities to review panel.

 

Using the review wizard

Selecting Start launches the Activity review wizard.

The wizard:

  • Presents activities one at a time.

  • Orders them from earliest to most recent, grouped by learner.

  • Allows you to work through reviews efficiently without leaving the flow.

For each activity, you can:

  • Accept the activity if it meets requirements.

  • Reject the activity if changes are needed.

If you reject an activity, you must provide a reason. This feedback is returned directly to the learner.

You can:

  • Select Save and continue to pause and return later.

  • Select Save and finish once all activities have been reviewed.

A final confirmation ensures all decisions are saved before returning you to the main dashboard.

 

Viewing a learner’s activity history

To view a learner's activity history, locate the learner on the Learners panel on the dashboard. You can use the filters to narrow your search.

Selecting the learner. This opens their Activity history screen. Each row represents an activity. Click on a row to see the record.

On the top-left of the screen, you can see the learner name and their current programme. Below this, a table lists all logged activities, showing:

  • Activity type

  • Learning plan component

  • Date of activity

  • Time logged

  • Status, such as submitted, accepted, rejected, or resubmitted

You can use available filters and sorting options to narrow the list and quickly find specific entries.

 

Reviewing individual activities

Selecting an activity opens the Review activity page. You can do this from the learner grid by selecting a learner to view their activity log history then selecting a log entry.

Accepted activities

If an activity has already been accepted:

  • The page is read-only

  • All details are visible for reference

  • The status cannot be changed

  • No delete option is available

This preserves the integrity of verified learning records.

 

Submitted, rejected, or resubmitted activities

For activities that are not yet accepted:

  • You can review the full activity details

  • You can accept or reject the activity as appropriate

In some cases, a delete option may be available. This should only be used if the activity should not form part of the learner’s record.

If you choose to delete an activity:

  • A confirmation warning is shown

  • Once confirmed, the activity is permanently removed and cannot be recovered

  • If you cancel, no changes are made

 

Exporting activity for audit and compliance

When a complete record of learner activity is required, tutors or administrators can export it directly from the learner’s activity history page.

To export, select Download audit log. A CSV file is generated containing all logged activity for that learner.

This export is designed to support audits, funding assurance, and wider compliance requirements. The exported file includes the following columns for each activity:

  • 'Learner ID'

  • 'First Name'

  • 'Last Name'

  • 'Programme ID'

  • 'Programme Title'

  • 'Planned OTJT Hours' (from the ILR)

  • 'Planned English & Maths Hours' (from Programme)

  • 'Activity Type'

  • 'When the activity took place'

  • 'Description of Activity'

  • 'Date activity took place'

  • 'Time Spent'

  • 'Linked Learning Plan Component Name'

  • 'Linked Component ID'

  • 'Status of Activity'

  • 'Rejected Reason' (this field should be empty for 'Accepted' records)
