Overview

Activity log gives tutors:

  • A single, structured place to manage learner activity.

  • Clear visibility of engagement and progress.

  • Efficient review workflows.

  • Reliable, exportable audit records.

It supports better conversations with learners, simpler compliance processes, and a clearer picture of learning over time.

This guide explains how tutors use Activity log day to day, from reviewing submitted activity to exporting learner records for compliance.

 

Accessing Activity log

Once Activity log is enabled for your tenant, you will see an Activity log icon in the left-hand navigation on your Aptem home screen.

Selecting this opens the Activity log dashboard, which is the starting point for managing learner activity.

You will only see learners who are assigned to you as a primary or secondary tutor.

 

Understanding the Activity log dashboard

The Activity log dashboard is divided into three main areas.

Activities to review

This section shows all submitted or resubmitted activity logs that require your review.

  • Activities where you:

    • are the caseowner.

      OR

    • are assigned as the component owner on the learning plan component.

  • Activities are queued and ready to review using a guided workflow.

When activities are available, a Start button appears so you can begin reviewing straight away.

 

No activities logged in 28 days

This section highlights learners who have not logged any activity in the past 28 days.

It helps you:

  • Quickly identify learners who may be disengaged.

  • Proactively follow up where support may be needed.

Selecting View opens a detailed list showing, where available:

  • Learner name and pronouns.

  • Date of last logged activity.

  • Learner phone number and email.

  • Employer or manager contact details.

You can select a learner from this list to open their activity history, or use the back control to return to the Activity log dashboard.

Note that only those learners are included where:

  • you are the caseowner.

    OR

  • you are assigned as the component owner on their learning plan component.

 

Learners table

The lower section of the dashboard displays a searchable and filterable list of learners on your caseload.

From here, you can:

  • Search for a learner by name.

  • Filter learners by programme.

  • Filter by: 

    • your caseload, OR 

    • all learners in groups you have access to. (In cases where you have the View All Groups permission)

  • Open a learner’s full activity history.

The table provides an at-a-glance view of learner progress, including activity awaiting review and overall logged hours.

 

Notifications for submitted activity

When learners submit or resubmit activity, tutors receive notifications in Aptem.

These notifications:

  • Alert you when a learner submits or resubmits an activity

  • Are sent to the tutor responsible for the relevant learning plan component

  • Provide direct access to the activity so you can review and respond without delay

Once reviewed, notifications can be cleared to help you manage your workload effectively.

To ensure activities are reviewed promptly, you should check your notifications regularly as part of your normal workflow.

 

Deleted components

If a learning plan component that has linked activity log entries is deleted, the affected activities remain in the learner's activity log history. However, the link to the component is broken.

If you open an activity that was linked to a deleted component, a message is displayed explaining that the component has been removed. You can still view the activity details, but the component context is no longer available.
